The role of Concierge within Viva Senior Living’s Administration department is a vital position that interfaces directly with residents, their families, visitors, and the internal staff. Reporting to the Business Office Manager, the Concierge acts as the initial point of contact and ensures that visitors and residents receive attentive, courteous, and professional service at all times. This full-time position requires a minimum of a high school diploma or GED and emphasizes the importance of working with compassion and maintaining dignity for all residents in accordance with the Resident Bill of Rights. The Concierge must be adept at managing multiple communication channels, including greeting guests, managing visitor sign-ins, answering phone calls with accurate message-taking, and providing detailed community information. Additionally, this role involves clerical support duties such as typing correspondence, sorting and distributing mail, organizing the front desk and lobby area, and maintaining confidentiality of sensitive resident information to protect privacy rights.

Job Requirements
- Must provide annual verification of a negative TB skin test
- Must meet general health requirements including medical and physical examination
- Physical ability to move intermittently throughout the workday
- Must be able to push, pull, move, and/or lift a minimum of 25 pounds to a minimum height of 5 feet
- Must be able to push, pull, move, and/or carry such weight a minimum distance of 50 feet
- Must be able to see and hear or use prosthetics to function adequately
- Must be able to cope with mental and emotional stress of the position
- Must adhere to attendance policies as set forth in the Employee Handbook
- Must maintain confidentiality of protected health information
- Must be able to relate to and work with ill, disabled, elderly, emotionally upset, and agitated residents
- May be subject to emergency callback during severe weather or staffing shortages
Job Qualifications
- High school diploma or GED
- Ability to read, write, speak, and understand English
- Competence in office and clerical duties such as typing and message handling
- Strong interpersonal and communication skills
- Ability to maintain confidentiality and handle sensitive information
- Previous experience in customer service or senior living environment preferred
- Knowledge of community services related to senior living
- Capability to work well with peers and maintain compassionate conduct
- Basic computer skills
- Ability to participate in emergency response and evacuation procedures
Job Duties
- Receive guests and visitors having them sign in
- Assist visitors in finding resident rooms
- Answer telephone and take messages including caller's name, telephone number, time, and date of call
- Respond to requests and forward information to other staff members
- Announce appointments and arrivals to appropriate staff
- Type memos, correspondence, reports, and other documents as requested
- Sort mail and distribute appropriately to mailboxes, residents, and departments
- Create and maintain an atmosphere of warmth, personal interest, and positive emphasis
- Maintain confidentiality of all pertinent resident information
- Provide families and prospective residents with tours and community information
- Assemble and maintain admission and information packets
- Keep front desk and lobby area neat and organized
- Perform other duties assigned by Business Office Manager or Executive Director
- Ensure residents and families receive the highest quality of service in a caring and compassionate atmosphere
- Report occupational exposures, work related injuries, and illnesses immediately
- Complete all assigned training and skills competency
- Participate in life safety and emergency drills and trainings
- Fulfill responsibilities during facility emergency plans
- Assist with evacuation of residents in emergency situations
- Protect residents from abuse and cooperate with investigations
- Report allegations of abuse, neglect, misappropriation, exploitation, or mistreatment
- Report any retaliation or discrimination to appropriate personnel
- Fulfill responsibility to report suspicion of a crime to law enforcement and state agencies
- Perform other duties as requested
