Job Requirements

  • Legal authorization to work in the United States
  • Experience in concierge, reception, hospitality, or front-of-house support
  • Strong communication skills including verbal and written
  • Proficiency with Microsoft Outlook and scheduling tools
  • Ability to multitask in a fast-paced environment
  • Sound judgment and discretion
  • Comfort in coordinating vendor and visitor logistics
  • Flexibility for occasional after-hours support

Job Qualifications

  • Prior experience in concierge, reception, hospitality, or front-of-house support within an office setting
  • Strong customer service skills with the ability to anticipate needs
  • Excellent verbal and written communication skills including phone and email etiquette
  • Proficiency with Microsoft Outlook and experience managing calendars, meeting bookings, or shared inboxes
  • Ability to coordinate multiple requests maintaining accuracy and discretion
  • Comfortable working with vendors, transportation, catering requests, and visitor logistics
  • Strong presence and sound judgment when interacting with clients and executives
  • Flexibility to assist with occasional after-hours events or meeting support

Job Duties

  • Welcome visitors and provide a personalized arrival experience from check-in through departure
  • Guide guests to scheduled meeting spaces and notify hosts promptly
  • Coordinate room reservations using office scheduling tools and Outlook
  • Capture audiovisual, seating, and food service needs accurately
  • Respond to phone calls and inbox inquiries promptly and courteously
  • Support meeting and hospitality operations by preparing rooms with refreshments and supplies
  • Arrange transportation, off-site activities, and other concierge services as requested
  • Work with catering providers to confirm service details and maintain standards
  • Manage visitor access, room scheduling, and pass distribution per site procedures
  • Build coordination across departments to promote efficient service delivery
  • Provide occasional evening support for special events or client-facing functions
