Currently, The Residence at Whitehall is seeking a full-time Concierge Specialist to join their team. This role is pivotal in maintaining smooth daily operations and enhancing the resident experience through efficient administrative support and positive interpersonal interactions. The Concierge Specialist serves as the first point of contact for residents, families, and visitors, ensuring courteous and prompt communication. Responsibilities include clerical tasks such as organizing and maintaining files related to residents, personnel, marketing, maintenance, and resources. The Concierge answers telephones, greets guests, coordinates resident services, assists with appointment scheduling, and supports wellness programs. This role demands a professional demeanor, strong customer service skills, and the ability to operate various office equipment and software, including Windows, Word, Excel, Outlook, and internet-based applications. Physical requirements include the ability to communicate effectively and perform tasks that may involve bending, standing, lifting up to 40 pounds, and other movements necessary to support the community's functioning. The ideal candidate will have a high school diploma or GED, experience in office or hospitality settings, excellent grammatical skills, proficiency in email etiquette, and a commitment to upholding confidentiality and safety standards. Job Requirements

  • High school diploma or GED
  • Minimum one year of office or hospitality experience preferred
  • Proficient in Microsoft Office and general office software
  • Excellent verbal and written communication skills
  • Ability to operate office equipment including telephone systems and scanners
  • Strong organizational and multitasking abilities
  • Physical ability to bend, stand, lift up to 40 pounds, stoop, sit, walk, and stretch
  • Ability to maintain confidentiality of resident and company information
  • Must be free of communicable diseases
  • Completion of drug testing and criminal background check
  • Adherence to company policies and dress code
  • Ability to communicate effectively by speaking, seeing, and hearing sufficient to serve residents

Job Qualifications

  • High school diploma or GED
  • Experience in general office procedures and computer applications including Windows, Word, Excel, Outlook, and internet-based programs
  • Proficient with email processes and etiquette
  • Excellent customer service and interpersonal skills

  • Ability to read, write, and speak English fluently

Job Duties

  • Provide clerical support including organizing and maintaining files
  • Answer telephones promptly and take accurate messages
  • Greet visitors and ensure proper registration and routing
  • Assist residents with information, activities, and signing out procedures
  • Schedule and coordinate residents' doctors' appointments and transportation
  • Maintain resident mailboxes, distribute mail, and update listings
  • Keep the lobby and reception areas neat, organized, and professional
  • Provide administrative support including typing, filing, report preparation, and scheduling
  • Schedule work orders and coordinate with maintenance and housekeeping
  • Assist with recruitment activities including placing ads, screening applicants, and scheduling interviews
  • Maintain and order office supplies as approved by supervisor
  • Identify and report unsafe conditions or hazards immediately
  • Support and participate in resident-centered activity programs
  • Attend associate meetings and in-service education sessions
  • Perform other related duties as assigned by supervisor
