Job Description

The hiring establishment is a community-focused organization operating within the senior living sector, dedicated to providing a warm and welcoming environment for residents, their families, guests, and visitors. This organization values professionalism, respect, and a customer-first approach, ensuring that every interaction reflects the community's culture and service commitment. The organization is governed under non-exempt employment status with oversight provided by the General Manager, emphasizing structured and supportive working conditions that comply with safety and confidentiality regulations including HIPAA.

This organization is looking to fill the role of Concierge, a vital front-facing position that serves as the first point of contact within the Community. The Concierge role is designed to be much more than a receptionist job; it is a service-driven position key to creating a welcoming atmosphere while efficiently managing administrative duties. The Concierge interacts directly with residents, families, guests, vendors, and other stakeholders to facilitate smooth communication and exemplary service experiences. Responsibilities include managing incoming phone calls, providing accurate information, maintaining organized front desk operations, and supporting other departments as needed. The Concierge is responsible for ensuring safety by monitoring entry points and adhering to visitor policies, as well as maintaining confidentiality of sensitive information.

The role requires the employee to maintain a professional and warm demeanor while supporting both administrative functions and the community's service initiatives. This includes assisting residents with appointment scheduling, supporting the sales team by welcoming prospective residents, and maintaining community communications such as bulletin boards and calendars. The position may involve occasional evening, weekend, or holiday shifts to ensure consistent coverage and may require physical activities like standing for long periods, lifting up to 50 pounds, and other movements essential to daily duties. Candidates must be at least 18 years old, capable of communicating effectively in English, and meet all state-mandated background and health screenings and certifications, including tuberculosis clearance, CPR, and fingerprint clearances. Overall, the Concierge role is a dynamic position requiring a blend of excellent interpersonal skills, administrative capability, and a genuine passion for serving seniors in a community-oriented setting.

Job Requirements

  • excellent verbal and written communication skills

  • basic computer and phone system knowledge including Microsoft Office, copy/fax/scanning equipment
  • state criminal background check and LIC 508 criminal record statement
  • LIC 503 health screening report
  • tuberculosis clearance as required by the state
  • first aid and CPR certifications as required by the state
  • certification and/or license as required by the state
  • fingerprint clearance as required by the state
  • must be at least 18 years of age as outlined in state regulations
  • must be able to read, speak and write the English language

Job Duties

  • Greet all residents, visitors, families, and vendors in a courteous, professional, and friendly manner
  • treat residents, families and visitors of the community with dignity and respect
  • answer all incoming telephone calls promptly and route them to the appropriate department or take accurate messages and ensure timely delivery
  • maintain the front desk area in a neat, organized, and welcoming condition at all times
  • monitor and manage resident and guest sign-in/sign-out logs according to community policy and procedures
  • assist residents with general questions, appointment scheduling & reminders, package deliveries, and other non-clinical support services
  • notify appropriate staff of scheduled tours, appointments, vendors, and special guests
  • support the sales director by greeting prospective residents and their families warmly and notifying the team of walk-ins or scheduled tours
  • provide administrative assistance including copying, faxing, filing, and distributing mail as assigned by the general manager or executive director
  • help maintain community calendars, bulletin boards, and front desk communications in a clear and current manner
  • coordinate with maintenance, housekeeping, and dietary services for timely resident or guest requests
  • monitor entry points in accordance with the community’s safety, visitor, and emergency policies
  • maintain confidentiality and security of all resident and business information in compliance with HIPAA and company policies
  • provide coverage for weekends, holidays, and other shifts as needed to ensure consistent front desk presence
  • support other departments and leadership with projects and administrative tasks as assigned
  • perform all other duties as assigned by the executive director, general manager, or management company representatives
