This full-time Concert and Event Coordinator position located in Woodinville, WA, focuses on the coordination of VIP trade events while also supporting Corporate Revenue, Wine Shop, Wine Club, and Off-Site Events. The role requires a highly organized and detail-oriented individual with excellent communication skills and a passion for delivering outstanding customer service. The Concert and Event Coordinator serves as a vital communication hub across multiple departments such as Sales, Marketing, Communications, Guest Services, IS, and Executive Administration Assistants, ensuring a seamless and high-level experience for all guests. A significant aspect of this position is coordinating and managing event logistics including liaising with external vendors and agencies, overseeing wine sample ordering, scheduling, menu coordination, AV support, and other administrative tasks assigned by department managers. The role also involves managing VIP reception activities in partnership with the Concert Team and working closely with creative services and digital departments to manage print and web projects including job requests, proofs, and deadline tracking.

The position is primarily onsite with limited remote flexibility, typically allowing remote work one day per week depending on business needs and seasonality, with a more onsite focus during spring and summer when operations are at their peak. The work schedule is mainly Monday to Friday but requires flexibility to work evenings and weekends to support special events. Physical requirements include the ability to lift and carry up to 50 pounds and stand or walk for extended periods.

Candidates must be at least 21 years old, possess a high school diploma or equivalent, and preferably hold a bachelor’s degree in Hospitality Management, Communications, or related fields. They must have a MAST 12 Class Permit and Food Handler's Card, a minimum of two years’ experience in administrative support roles preferably within hospitality, proven project management skills, advanced proficiency with Microsoft Office applications particularly Excel and Visio, and superior organizational, problem-solving, and communication skills. A professional demeanor and the ability to work effectively with international partners and internal stakeholders at all levels are essential. The candidate must also demonstrate a history of responsible conduct related to alcohol use and meet all licensing, permitting, or certification requirements mandated by local or state regulatory bodies.

The hourly compensation for this role ranges from $21.41 to $27.82, based on relevant experience. Ste. Job Requirements

Job Duties

  • Communicate effectively and concisely across multiple departments and locations including Sales, Marketing, Communications, Guest Services, IS, Executive Administration Assistants and external contacts to ensure a high level of service and experience for all guests
  • Act as Ste. Michelle Wine Estates contact for outside event vendors and agencies
  • Coordinate various event-related duties including wine sample ordering and coordination, scheduling and timeline troubleshooting, menu coordination, AV support, and other administrative functions assigned by department managers
  • Manage VIP Reception activities alongside the Concert Team
  • Interface with creative services and digital departments to coordinate print and web projects including job request initiation, proofing drafts, and tracking deadlines
