The Complex Event Manager role at Highgate Hotels is vital to the successful execution of group business, managing all facets from sales turnover through event completion and financial reconciliation. This position underscores the importance of delivering profitable operations while maintaining high standards of product quality and service. The Complex Event Manager is responsible for managing banquet and catering budgets, fostering creative marketing initiatives to promote business growth, reducing employee turnover, and ensuring effective management of revenue and payroll budgets. A critical part of the role is maintaining productivity without compromising service quality.
This role acts as a key liaison between clients and operational departments to guarantee seamless event execution, client satisfaction, and repeat business opportunities. It requires strong interpersonal skills, including clear communication, problem-solving aptitude, and the ability to multitask and prioritize efficiently under pressure. The position demands proactive leadership in event coordination, ensuring compliance with company standards, and actively participating in hotel meetings and training sessions. This role may also require participation in management on duty coverage, addressing guest and employee concerns tactfully and effectively, and maintaining a visible presence during events to support staff and resolve any issues promptly.

Job Requirements
- High school diploma or equivalent
- 2 - 5 years of experience in hotel management or event planning
- Proficient in Microsoft Windows and office software
- Knowledge of food and beverage industry standards and regulations
- Experience with inventory or property management systems preferred
- Ability to work flexible hours including weekends and holidays
- Physical ability to perform light lifting up to 20 pounds
- Strong communication and interpersonal skills
- Ability to multitask and prioritize under pressure
- Commitment to maintaining confidentiality and professionalism
Job Qualifications
- 2 - 5 years of progressive experience in a hotel or as a meeting planner
- Proficient in Windows, company-approved spreadsheets and word processing
- Knowledge of food and beverage preparation techniques, health department rules and regulations, and Nevada liquor laws
- Marriott Consolidated Inventory System (CI) experience is a plus
- Flexible with long hours sometimes required
- Willing to work weekends and holidays
- Capable of light physical work requiring lifting up to 20 pounds occasionally
Job Duties
- Maintain a warm and friendly demeanor at all times
- Effectively communicate verbally and in writing with all employees and guests in a service-oriented manner
- Listen to, understand, and clarify concerns raised by employees and guests
- Multitask and prioritize departmental functions to meet deadlines
- Attend all required meetings and trainings
- Participate in management on duty coverage as needed
- Manage existing accounts and conduct client re-solicitation to capture future business
- Respond promptly to meeting planner requests
- Coordinate with outside planners and vendors for event set-up
- Maintain pricing integrity and propose upscale menus
- Create, review, and revise rooming and VIP lists
- Manage function book and adjust event space for maximum revenue
- Assist staff during functions and respond to guest complaints timely
- Keep management informed of issues requiring attention
- Collaborate with food and beverage managers
- Prepare and submit reports on time
- Understand meeting room setups and hotel operational departments
- Conduct departmental and hotel training
- Plan and execute holiday and special events
- Use meeting planner feedback to improve service quality
- Lead weekly and monthly team meetings
- Focus team on guest service and audit scores
- Hold meetings according to company standards
