Governor's Ranch Homeowners Association (HOA) is a community-focused organization dedicated to maintaining and enhancing the quality of life for residents within the Governor's Ranch neighborhood. The HOA manages common areas, maintains community facilities, and organizes events that foster a vibrant and engaged community. The role of Community Services Coordinator at Governor's Ranch HOA is a non-exempt, part-time position that plays a crucial role in the daily operations of the community clubhouse and administrative support functions. This position reports directly to the Treasurer on the HOA Board and requires regular communication, including bi-weekly one-on-one meetings to discuss progress, issues, and board directives. The role is ideal for an organized, proactive individual who enjoys engaging with community members and contributing to a well-maintained living environment.
As the Community Services Coordinator, you will be responsible for opening and closing the clubhouse on weekdays, ensuring cleanliness and security, managing supplies and maintenance requests promptly and efficiently. A key aspect of this position involves acting as the primary contact for residents and visitors, providing excellent customer service, and supporting the execution of community events to enhance social interaction and community spirit. The coordinator will also manage vendor and contractor access, handle accounts payable and receivable logistics, and maintain the community website and correspondence such as e-blasts and newsletters.
Additionally, the role involves collaborating with community committees to disseminate information and facilitate event logistics. The Community Services Coordinator is also tasked with mentoring a backup coordinator to ensure continuity of operations and maintaining detailed documentation of the position's processes and tools. Job Requirements
- 5+ years experience in a customer service or administrative role
- Strong organizational and multitasking skills with a keen eye for detail
- Excellent written and verbal communication skills
- Proficiency with Microsoft Office Suite including Word and Excel
- Ability to work independently and manage time effectively
- Flexibility to accommodate some evening or weekend events
- An upbeat and positive personality is a must

Job Duties
- Report directly to the onsite HOA Treasurer
- Open and close the clubhouse weekdays ensuring cleanliness, security, and readiness of the facility
- Ensure clubhouse and outlying facilities are in good working order and order supplies as needed
- Act as the first point of contact for residents and walk-in visitors providing excellent customer service
- Create and manage the event schedule and execute all community events
- Maintain an action item list with owners and due dates to circulate information efficiently
- Manage vendor and contractor access to ensure timely work completion
- Handle logistics for accounts payable and receivable
- Craft, review, and send communications to the community and update the website
- Collaborate with committees to disseminate information and provide logistical event support
- Facilitate training and mentorship of a backup Community Services Coordinator
- Document and maintain all tools, processes, contacts, and guides for the role
- Perform other duties as reasonably assigned for good community service
