The Community Relations and Public Affairs Coordinator at Caglia Environmental serves a vital support function within the company. Reporting directly to the Director of Governmental Affairs, this role is responsible for providing comprehensive administrative, scheduling, research, and event coordination support for various community relations, external affairs, and political operations within the organization. The position demands high-level organizational skills, professionalism, and meticulous attention to detail to manage a dynamic workload that includes community engagement, event planning, database management, and communication efforts.
In this role, the coordinator will play an instrumental part in facilitating the company’s outreach initiatives and public affairs strategies by managing calendars, scheduling meetings with elected officials, coalition partners, community leaders, and other stakeholders. They will also maintain key tracking tools such as event calendars, contact lists, and community engagement databases, ensuring that all associated data remains accurate and up-to-date. The position requires help in organizing and staffing community engagement activities including public meetings, media events, and local government partner events, typically including some evening duties.
Additionally, the coordinator will conduct research on relevant legislative, regulatory, and community issues that impact company operations. In support of communication needs, the role also involves drafting and editing various materials including correspondence, invitations, talking points, briefing notes, reports, social media content, and other public affairs documents. Maintaining organized records for sponsorships, political contributions, event participation, and regulatory reporting is also a key aspect.
The ideal candidate for this role will have a strong foundation in administrative and communication skills, with an ability to work independently and discretely handle sensitive information. Proficiency with Microsoft Office and related software is essential, along with excellent written and verbal communication capabilities. Flexibility to attend evening community and public affairs events is required.

Job Requirements
- Degree in public affairs, communications, political science, community relations, business administration, public administration, or a related field, or five (5) years of relevant job experience
- Ability to work a full-time schedule and attend evening events or community meetings as required
- Valid driver’s license, clean driving record, and ability to travel locally for meetings, community events, and off-site assignments as needed
- Strong administrative and scheduling skills
- Excellent organizational skills with attention to detail
- Proficiency with Microsoft Office Suite
- Ability to work independently and maintain confidentiality
- Strong written and verbal communication skills
- Flexibility to attend evening events and occasional off-site meetings
Job Qualifications
- Degree in public affairs, communications, political science, community relations, business administration, public administration, or a related field, or five (5) years of relevant job experience
- Administrative, executive assistant, coordinator, community relations, public affairs, government affairs, political campaign, nonprofit, or event coordination experience preferred
- Valid driver’s license, clean driving record, and ability to travel locally for meetings, community events, and off-site assignments as needed
- Ability to work a full-time schedule and attend evening events or community meetings as required
- Spanish bilingual skills preferred
- Experience supporting public affairs, government affairs, community engagement, nonprofit outreach, political teams, campaigns, or elected official offices preferred
- Experience maintaining contact databases, event calendars, RSVP lists, media lists, stakeholder records, or project trackers preferred
Job Duties
- Provide administrative support for the community relations, external affairs, public affairs, and political team functions, including calendar coordination, meeting preparation, follow-up tracking, and project support
- Manage meeting scheduling and logistics for internal team meetings, elected official meetings, agency meetings, coalition meetings, community partner meetings, and other stakeholder appointments
- Maintain and update the department event calendar, community engagement calendar, contact lists, media lists, stakeholder database, event database, and related tracking tools
- Assist with planning, organizing, and staffing community engagement activities, evening events, public meetings, media events, outreach activities, and local government or community partner events
- Support community engagement by helping coordinate communications, event participation, sponsorship follow-up, neighborhood outreach, and relationship-building activities with community leaders and organizations
- Conduct research on local and state government matters, public affairs issues, community priorities, elected officials, agencies, policy developments, stakeholders, events, and organizations that may impact company operations or community relations
- Monitor and summarize relevant legislative, regulatory, public affairs, and community issues under the direction of the department leader
