The Community Operations Coordinator role at Cohere Life is an essential full-time position offering a competitive hourly wage ranging from $24.04 to $26.44. This role reports directly to the Director of Community Operations and plays a key role in supporting the daily functions and goals of the Mueller Property Owners Association. The position advances the community's mission by ensuring smooth day-to-day operations, fostering meaningful resident interactions, and managing vital administrative tasks. As the first point of contact for residents, vendors, and volunteers, the coordinator helps sustain a welcoming and organized community atmosphere.

Responsibilities include providing high-quality customer service with a friendly yet assertive approach, managing resident verifications and amenity access, and supporting building and meeting logistics. The role demands excellent organizational skills, attention to detail, and the ability to collaborate effectively with multiple leaders and community members. Alongside administration duties like scheduling, preparing meeting materials, tracking records, and responding to inquiries, the coordinator plays an active role in community engagement efforts. This includes supporting community events, advocating for compliance with community policies, and participating in ongoing personal development through Cohere's Councils of Excellence.

Job Duties

  • Provide high-level customer service with a friendly, caring, and confident demeanor
  • serve as the primary point of contact for Mueller stakeholders and residents, responding quickly and accurately by solving problems, directing requests, and escalating issues as appropriate
  • support the resident-verification and amenity access process and security control system
  • maintain building operations for the Mueller POA office by tracking, ordering office supplies, preparing and restoring office and meeting spaces, and maintaining an organized office environment
  • provide executive administrative support to the Executive Director and three additional Directors, including scheduling, meeting coordination, document preparation, and follow-up
  • assist leadership with preparing reports, presentations, communications, and project-related documentation
  • coordinate leadership, board, and committee meetings, prepare agendas, take minutes, and track action items
  • maintain strict confidentiality regarding resident information, internal operations, personnel matters, and sensitive communications
  • support communication efforts by promoting community initiatives, programs, and outreach activities
  • manage customer service needs with a friendly and caring yet assertive demeanor following standards and guidelines
  • coordinate board, committee, internal, and partner meetings and room reservations, setup, audiovisual needs, food, and beverage
  • serve as the Vantaca 'traffic cop' for residents and internal team members
  • maintain records in cloud-based storage files ensuring document accuracy and accessibility
  • provide administrative and logistical support for community events, workshops, and engagement activities
  • participate in Cohere’s Councils of Excellence and ongoing personal and professional development
  • attend after-hours events as necessary
  • perform additional operational or administrative tasks as assigned to support the effectiveness and efficiency of the Mueller POA and Cohere
