Job Description

The City of Cedar Park is a vibrant and rapidly growing suburb located just 17 miles northwest of downtown Austin, Texas. Home to over 83,000 residents, Cedar Park is recognized for its exceptional quality of life amid the dynamic growth in the Central Texas region. As the fourth largest city in the Austin metropolitan area, it shares a border with Austin and is strategically positioned to attract corporate headquarters, particularly in high-tech industries and major manufacturing sectors. Cedar Park masterfully blends its small-community roots with the conveniences and opportunities of a thriving suburban city, offering outstanding schools, a pro-business climate, and a relaxed, family-friendly environment. The city has been honored as one of the Best Suburbs for Growing Families and named the Best Small City in America in 2020. Residents and businesses alike benefit from the region's reputation for innovation, live music, and entrepreneurial spirit, all supported by an effective, well-managed city government.

The Community Events Coordinator role is pivotal in enhancing Cedar Park's community engagement and quality of life through the planning and execution of citywide events and recreational programs. Reporting to the Recreation Manager, this position involves managing event operations, budgets, and partnerships to ensure efficient and impactful service delivery across a variety of facilities such as recreation centers, parks, and trails. The coordinator will oversee all aspects of customer service related to event registrations and communications, evaluate event performance for continuous improvement, and develop policies to boost operational effectiveness.

Key responsibilities include creating and managing sponsorship packages to enhance event offerings and collaborating with internal divisions to produce marketing materials like brochures, newsletters, and website content. Budget management is essential, with duties encompassing preparing expense and revenue projections and various reports including purchasing and productivity reports. The coordinator will stay abreast of trends in event management to ensure exceptional experiences, coordinate with internal staff and external vendors such as security and catering services, and manage special use permits for park events.

Further duties comprise assisting with pavilion reservations, recruiting and supervising part-time recreation staff, and leading special projects as assigned. Candidates must hold a Bachelor’s Degree in Parks and Recreation Administration, Event Management, or a closely related field and have at least three years of progressively responsible experience in event and facility management or an equivalent combination of education and experience. Successful candidates will possess strong knowledge of event planning, budgeting, recreation programming, and relevant regulations, along with excellent skills in project coordination, communication, and relationship-building with staff, vendors, and the public.

The Community Events Coordinator must be adept at managing multiple priorities, solving problems, and exercising sound judgment in a fast-paced environment. Flexibility to work evenings and weekends is required to accommodate event schedules. Physically, the role involves frequent standing, walking, and light setup and teardown activities, with occasional lifting up to 30-50 pounds, and working in varying indoor and outdoor weather conditions with exposure to moderate noise levels during events. This position provides an excellent opportunity for individuals dedicated to enhancing community life through well-organized, impactful events in one of Texas’ most desirable suburban cities.
