The role of Community Events Coordinator at IOA is critical in furthering the organization’s mission by developing and executing a comprehensive special events program that generates qualified referrals for key IOA service areas such as Support @ Home, Companioa, and Education events. This position uniquely blends online and in-person outreach to increase community engagement, build brand awareness, and educate caregivers. The Community Events Coordinator will work collaboratively with marketing, program leaders, and philanthropy departments to design, promote, and manage a variety of community-facing activities including caregiver education sessions, conferences, networking events, fundraisers, and the annual gala. This multifaceted role demands a proactive planner with excellent communication and organizational skills who can cultivate lasting relationships with referral sources and community partners. Key responsibilities include maintaining a deep understanding of IOA services, managing event budgets, coordinating promotional materials, facilitating networking opportunities, and tracking event outcomes to measure return on investment. The role requires a dedication to customer service, teamwork, and adaptability, including the flexibility to work some evenings and weekends. Job Requirements
- Bachelor’s degree a plus but not required
- Four years’ experience in events planning or related field
- Knowledge of care for elderly adults and adults with disabilities
- Excellent planning, organization, and presentation skills
- Effective communication skills
- Strong customer service skills
- Ability to work evenings and weekends
- Driver’s license required
- Computer proficiency in MS Word, Excel, Outlook
- Familiarity with Wordpress
- Ability to use a CRM
- Willingness to travel 25% within Bay Area territories
- Availability to work onsite at Geary office

Job Duties
- Maintain thorough knowledge of key IOA programs and ensure consistent messaging through social media and community presentations
- Execute annual marketing plan and budget for events in collaboration with marketing and program leaders
- Promote monthly marketing calendar via social media, community outreach, and events
- Collaborate with program leaders to develop event marketing materials and manage promotional supplies
- Plan and support referral source relationships through virtual meetings, networking events, and tours
- Organize and facilitate bi-monthly community events including caregiver education and professional lectures
- Work with internal departments to plan and promote IOA events and annual calendar
- Identify opportunities for technology events and CalAIM Enhanced Care Management community outreach
- Manage IOA participation in outside events such as conferences and fundraisers
- Plan donor engagement and annual fundraising gala events with Philanthropy Department
- Track and analyze event ROI and qualified leads
- Coordinate mailings, obtain vendor quotes, secure speakers, and manage event billing
- Participate actively in team meetings and perform other duties as assigned
