The Community Engagement and Education Specialist position at the Fort Wayne Philharmonic is a full-time, exempt role dedicated to managing the logistical details of community and education programs. In direct collaboration with the Director of Community Engagement, this specialist is responsible for coordinating ensemble schedules, maintaining and updating calendars, creating memorandums, and preparing materials for various educational events including Family Concerts and Youth Orchestra performances. This role is integral in supporting the Philharmonic's mission to provide high-quality educational experiences through music.
This position requires meticulous organizational skills, proficiency with Microsoft Office and online survey software, a strong attention to detail, and the ability to manage multiple projects and tight deadlines simultaneously. The specialist will also serve as the Philharmonic’s representative at arts and education-related community fairs, working to build connections and promote the organization's initiatives. Additional responsibilities include collaborating closely with the Marketing team to produce and manage content for educational events across multiple platforms, including printed materials and social media, ensuring cohesive and effective outreach.
The Community Engagement and Education Specialist will manage registration and survey processes associated with ensemble performances and youth concerts, ensuring accurate data collection for grant reporting and program evaluation. The candidate will develop educational materials that enhance concert experiences and engage audiences, while maintaining constant communication within the Community Engagement team to support content creation and distribution.

Job Requirements
- Bachelor's degree preferred
- Proven experience in data entry and administrative support
- Proficiency in Microsoft Office suite, especially Excel and PowerPoint
- Experience with online survey platforms
- Strong attention to detail and organizational skills
- Ability to manage multiple deadlines

Job Duties
- Meet weekly and as needed with Director of Community Engagement
- Attend Operations team meetings for weekly updates
- Create, update or manage online ensemble registration forms
- Schedule and input ensembles performances into scheduling software
- Manage ensemble performances in Microsoft Outlook calendar
- Create, update, and email ensemble survey forms to schools
- Manage Young People’s Concert registration data and online registration forms
- Develop materials for concerts and special educational events
- Act as Philharmonic representative at community fairs
- Collaborate with Marketing team on content, graphics, and printing for educational materials
- Collaborate with Marketing team on social media posts involving educational events
- Organize and create resources for Family Concerts, Youth Orchestras Concerts, and Club Orchestra Concert
- Perform other duties as assigned
