The Community Assistants (CAs) and Office Assistants positions are integral to the Residence Life team at the University of Oklahoma. These roles are designed specifically for students who are looking to contribute positively to the campus living environment while gaining valuable work experience. Both positions offer hourly student employment, with pay targeted at $9.00 per hour based on experience. The Community Assistant role primarily involves supporting the front desk operations in residence hall lobbies and apartment clubhouses, serving as a welcoming presence for residents and visitors, and helping to maintain a safe and well-organized community space. This position typically requires availability for evening and weekend shifts, with work hours ranging from 10 to 20 hours per week.

Office Assistants, on the other hand, provide critical administrative support to Residence Life staff. This includes managing office operations, assisting with day-to-day tasks, and ensuring that all administrative duties are handled professionally. Office Assistants generally work Monday through Friday during business hours (8:00 AM to 5:00 PM), committing approximately 20 hours per week. Both roles report directly to the Residence Life Operations Coordinator and the designated Residence Life Team within the assigned residence halls or apartment communities.

Job Duties

  • Staff the desk and serve as a welcoming presence for residents and visitors
  • Provide customer service by answering questions, assisting with concerns, and referring issues appropriately and professionally
  • Ensure proper record keeping for the occupancy process (check-ins, check-outs, room changes)
  • Respond to and document student lockouts according to community procedures
  • Check in and out community resources
  • Complete and submit room damage reports as needed
  • Answer phone calls and direct inquiries to appropriate staff or departments
  • Maintain accurate logs and records related to desk operations and resource use
  • Issue spare keys/access cards and maintain accurate key audit logs in accordance with key control procedures
  • Monitor the lobby area to ensure a safe and respectful community environment
  • Operate standard desk equipment (phones, printers, computers, etc.)
  • Complete general administrative duties in support of Housing and Residence Life
  • Maintain confidentiality when handling sensitive or personal student information
  • Maintain filing systems and records
  • Support special projects and perform other duties and assist with special projects as assigned
  • Perform administrative responsibilities effectively and efficiently
  • Operate standard office equipment (phones, printers, scanners, etc.)
  • Answer student/parent questions and handle complaints professionally
  • Conduct regular audits of building resources, including key inventory, supply stock, and documentation accuracy
  • Issue temporary keys, community access cards, and other resources
  • Submit student billing forms for lost keys, damages, and other applicable charges
  • Provide tours to prospective residents and families
  • Assist with tracking building budgets and submitting receipts or order forms
  • Answer phone calls and respond to emails
