Job Description

PCS (Public Community Services) is a reputable nonprofit organization dedicated to strengthening community welfare through a variety of essential programs and services. The Communications Specialist at PCS serves as a crucial administrative and frontline role responsible for managing the efficient flow of communication both within the organization and between PCS and its clients or visitors. This role demands a highly organized, detail-oriented, and customer-focused individual capable of multitasking and engaging with diverse populations. The Communications Specialist often represents PCS as the first point of contact for clients and guests, requiring outstanding interpersonal skills and the ability to create a welcoming and positive environment. Responsibilities include handling client intake, scheduling appointments, managing communications via phone, email, and in-person inquiries, as well as coordinating mail distribution and promoting PCS programs through community outreach efforts.

This position requires proficiency in both English and Spanish to effectively serve a diverse client base. The Communications Specialist is expected to maintain confidentiality, uphold PCS's ethical standards, assist in marketing efforts by creating graphics and content, and contribute to organizing staff meetings, trainings, and fundraising events. The role supports maintaining accurate records and manages logistical tasks ensuring reception areas are clean and well-organized. Working both independently and collaboratively, the Communications Specialist will guarantee that all communications are handled professionally and promptly to enhance client satisfaction and community engagement. Job Requirements

  • Valid driver's license required
  • must have liability insurance coverage
  • bilingual ability in understanding, speaking, reading, and writing both English and Spanish strongly preferred

Job Qualifications

  • High school diploma or 1+ years of experience in an administrative role required
  • some experience in a Community Action Agency or other similar non-profit organization preferred

Job Duties

  • Provides outstanding customer service while greeting clients and staff upon arrival or when answering phone calls and addressing questions and concerns
  • keeps detailed and accurate messages, report data, and notes
  • accepts, distributes, and sends mail and packages to and from program personnel and between branches
  • actively promotes PCS, our services, and programs through community outreach through events, resource fairs, and community meetings
  • assists clients with universal intake applications
  • checks clients in and out according to PCS policies and procedures
  • escorts clients to appropriate areas
  • ensures the lobby/reception area is clean and organized
  • enters data into appropriate systems
  • makes copies, scans paperwork, etc
  • maintains knowledge of all PCS programs to ensure client satisfaction and provides updates to community partners
  • restocks all brochures, pamphlets, etc, with proper labeling
  • checks emails, voicemails, etc, and returns communication promptly
  • establishes and maintains courteous, professional relationships with clients and community partners
  • provides accurate information in-person and via phone/email when answering questions or addressing client concerns
  • actively promotes PCS, our services, programs, and any promotions such as fundraisers via flyers and social media
  • create graphics and content for this purpose
  • maintains confidentiality in all PCS matters
  • regularly attends, participates in, and helps organize staff meetings, fundraisers, and training sessions
  • retrieves information as requested from records, email, minutes, and other related documents
  • prepares written summaries of data when needed
  • maintains and builds positive relationships with all levels of staff
  • conducts self and performs work in an ethical manner in accordance with PCS standards of conduct, and other applicable policies
  • attendance and participation in organizational team meetings and all staff days is required, some of which may be off site and on weekends
  • other duties as assigned
