The Communications Specialist role, based in Charlotte, NC with a 36-month duration, is a critical position within the Corporate Communications team. Unlike traditional event planners, this role emphasizes strategic communication, executive engagement, and operational execution of senior leadership meetings and enterprise-wide events. The Communications Specialist works closely with the Lead Communications Manager to ensure senior leaders are well-prepared for meetings while ensuring large-scale events are executed seamlessly. This involves developing clear, consistent messaging aligned with the enterprise strategy and maintaining an updated editorial calendar responsive to new insights and initiatives.
Responsibilities include supporting meeting and event materials development such as agendas, presentations, and talking points; assisting in coordinating ELT (Executive Leadership Team) and DELC (Diversity Executive Leadership Council) meetings; tracking deliverables and timelines to guarantee readiness; and collaborating with cross-departmental partners like event services, IT/AV, security, and finance to manage logistics, technology, and budget processes. The role also includes the adoption and pilot testing of AI-enabled tools designed to improve content creation and operational workflows, representing the company's commitment to leveraging emerging technologies.
The ideal candidate will have 3 to 5 years of experience in communications, event coordination, or corporate operations and possess strong writing, editing, and organizational skills. Job Requirements

Job Duties
- Support development of leadership meeting and event materials including agendas, presentations, talking points and logistics notes
- Assist with coordination and execution of ELT and DELC leadership meetings and large-scale enterprise events such as Open Forums
- Track timelines, deliverables and dependencies to ensure leaders and presenters are prepared
- Help ensure strategy and key messages are accurately reflected and consistent across materials and events
- Support Corporate Communications alignment by helping maintain awareness of upcoming initiatives and shared messaging priorities
- Coordinate with event services, IT/AV, security and other partners to support logistics and technology for meetings and events
- Maintain planning tools and content repositories such as Airtable
- Assist with budget tracking, invoice processing and expense reconciliation
- Conduct research and compile background materials to support strategy and messaging development
- Support testing and rollout of AI-enabled tools for content development or operational workflows
- Provide on-site or virtual event support as needed
