This position offers a starting pay range of $25 to $30 per hour and centers around managing the organization's Practice Management (PM) and Electronic Health Record (EHR) platforms. The role serves as the primary gatekeeper for these critical systems, ensuring that all clinical documentation is accurate, accessible, and compliant with internal and external auditing standards. This responsibility is key to maintaining high-quality care, proper billing, and regulatory compliance. In this role, the individual will be working closely with clinical staff, billing departments, and administrative teams to support the smooth operation and integrity of health records.

The role requires a thorough understanding of clinical documentation protocols and an ability to manage complex workflows related to the unlocking and unsigning of session notes while adhering to strict compliance guidelines. The incumbent will handle auditing and rectifying errors in billing and payroll systems and assist in troubleshooting and resolving discrepancies. They will also take charge of managing participant profiles throughout their lifecycle, from manual client record creation to securely archiving discharged records to maintain census accuracy.

In periods of system downtime or connectivity issues, the role involves uploading paper-based session data into the system, ensuring no disruption in clinical or billing tracking. The candidate will also monitor the timely completion of documentation by providers to prevent work backlog while collaborating with multidisciplinary teams to uphold organization-wide standards and compliance requirements. This position demands critical thinking, collaboration, and attention to detail to ensure efficient and compliant operations within a dynamic healthcare environment. Continuous improvement, accuracy, and a commitment to maintaining patient privacy are vital components of the role.

Job Requirements

  • Bachelor's degree in health informatics, information technology, computer science, medical billing, or health-related field preferred
  • 1-2 years of experience working in a clinical setting
  • 1-2 years of experience working directly with EHR systems
  • Understanding of clinical data structure, storage, and input
  • Ability to follow documentation, privacy, and retention standards
  • Critical thinking skills for workflow impact evaluation
  • Ability to work collaboratively with cross-functional teams
  • Proficiency in Microsoft Office Suite
  • Ability to obtain and maintain criminal record/fingerprint clearance
  • Must pass required drug testing
  • Occasional lifting up to 30 lbs
  • Occasional standing up to 3 hours per day
  • Frequent sitting up to 8 hours per day
  • Occasional walking up to 3 hours per day
  • No travel required
  • Frequent repetitive motion activities such as keyboarding and writing
  • Ability to view computer monitors and read printed materials

Job Qualifications

  • Bachelor's degree in health informatics, information technology, computer science, medical billing, or health-related field preferred
  • 1-2 years experience working in a clinical setting
  • 1-2 years experience working directly with EHR systems
  • Experience with system updates, module rollouts, or data migration preferred
  • Experience in regulatory compliance, payroll administration, or revenue cycle management preferred

Job Duties

  • Manages unlocking and unsigning process for session notes in accordance with documentation and compliance procedures
  • Analyzes billing and payroll discrepancies to determine corrective action and guide associates
  • Reviews correction requests to ensure edits align with documentation standards and compliance protocols
  • Oversees the lifecycle of participant profiles including creation and archiving of client records
  • Manages digitization and uploading of downtime forms
  • Ensures paper-based session data is accurately uploaded during system downtime
  • Conducts periodic audits of unsigned notes to enforce timely filing
  • Interfaces with clinicians and departments to enforce regulatory billing and labor law compliance
  • Performs other duties as assigned
