The current opening is for a critical role within the organization: a Practice Management and Electronic Health Record System Specialist. The position acts as the primary gatekeeper for the organization’s Practice Management (PM) and Electronic Health Record (EHR) platforms. This role is essential in ensuring that clinical documentation maintains accuracy, accessibility, and compliance with both internal policies and external regulatory requirements.

The role requires overseeing the workflow related to session notes including unlocking and unsigning processes, analyzing billing and payroll discrepancies, and performing detailed reviews on documentation edits submitted by clinical staff. The successful candidate will also manage participant profiles across the EHR system, ensuring proper data handling from client record creation to archiving discharged participants. They will be responsible for managing the digitization of downtime forms and ensuring paper-based session data is correctly uploaded when electronic systems are unavailable.

Regular auditing of electronic documentation queues and liaising with clinical and administrative staff are also central responsibilities. By enforcing the organization's policies, this role supports regulatory billing mandates and labor laws, contributing significantly to the organization's operational integrity.

This position offers a starting pay rate between $25 and $30 per hour, reflective of the specialist's experience and qualifications. Job Requirements

  • Bachelor's degree in health informatics, information technology, computer science, medical billing, or health-related field preferred
  • 1-2 years experience working in a clinical setting
  • 1-2 years experience working directly with EHR systems
  • ability to follow documentation, privacy, and retention standards consistently
  • ability to work collaboratively with cross-functional teams
  • ability to obtain and maintain criminal record/fingerprint clearance
  • must pass required drug testing
  • understanding of clinical data structure and input
  • critical thinking skills to evaluate workflow impacts

Job Qualifications

  • Bachelor's degree in health informatics, information technology, computer science, medical billing, or health-related field preferred
  • 1-2 years experience working in a clinical setting
  • 1-2 years experience working directly with EHR systems
  • experience with system updates, module rollouts, or data migration preferred
  • familiarity with regulatory compliance, payroll administration, or revenue cycle management preferred
  • proficiency in Microsoft Office Suite

Job Duties

  • Manages unlocking and unsigning process for session notes in accordance with documentation and compliance procedures
  • analyzes billing and payroll discrepancies to determine corrective action and provide guidance
  • reviews correction requests from BCBAs and BI/BTs ensuring edits align with documentation standards
  • oversees lifecycle of participant profiles including creation and removal of client records
  • manages digitization and uploading of downtime forms
  • ensures accurate upload and linkage of paper-based session data during system outages
  • conducts periodic audits of the unsigned notes queue to ensure timely filing
  • interfaces with clinicians and other departments to enforce billing and labor law compliance
  • performs other duties as assigned
