The organization is currently seeking a dedicated and detail-oriented professional to serve as the primary gatekeeper for its Practice Management (PM) and Electronic Health Record (EHR) platforms. This critical role ensures that clinical documentation is accurate, accessible, and compliant with both internal organizational standards and external auditing regulations. As a key member of the team, the successful candidate will play a crucial role in maintaining data integrity, supporting regulatory compliance, and facilitating smooth and efficient clinical operations.
The position involves managing the process of unlocking and unsigning session notes to align with documentation and compliance protocols. The role requires analyzing billing and payroll discrepancies and offering clear guidance to associates for corrective actions. Reviewing correction requests from Board Certified Behavior Analysts (BCBAs) and Behavior Interventionists (BIs/BTs) to ensure edits meet documentation standards and compliance protocols before re-finalization is a vital responsibility. This position also oversees the entire lifecycle of participant profiles in the system, including the manual creation of new client records and the secure archiving or removal of discharged participants to maintain an accurate active census.
Additionally, the role entails managing the digitization and uploading of downtime forms, ensuring paper-based session data is accurately uploaded when systems are offline, and conducting regular audits of unsigned notes queues to guarantee timely filing and prevent sessions from remaining in draft status. The incumbent will collaborate with clinicians and other departments to enforce organizational procedures that comply with regulatory billing requirements and labor laws, ensuring that all documentation is handled with the utmost accuracy and confidentiality. Other duties may be assigned as part of the role, emphasizing the dynamic and vital nature of the work environment.

Job Requirements
- Bachelor's degree preferred in relevant field
- 1-2 years experience in clinical setting
- 1-2 years experience with EHR systems
- Experience with system updates and data migration preferred
- Knowledge of regulatory compliance and payroll administration preferred
- Ability to follow documentation, privacy, and retention standards
- Critical thinking skills
- Ability to work collaboratively with cross-functional teams
- Ability to maintain DOJ and FBI clearance
- Must pass required drug testing
Job Qualifications
- Bachelor's degree in health informatics, information technology, computer science, medical billing, or health-related field preferred
- 1-2 years experience working in a clinical setting
- 1-2 years experience working directly with EHR systems
- Experience with system updates, module rollouts, or data migration preferred
- Experience in regulatory compliance, payroll administration, or revenue cycle management preferred
- Proficiency in Microsoft Office Suite
- Ability to obtain and maintain criminal record and fingerprint clearance
- Ability to pass required drug testing
