The role available is integral to the organization’s clinical and administrative functions, specifically focusing on the management of Practice Management (PM) and Electronic Health Record (EHR) platforms. This position acts as the primary gatekeeper to ensure that all clinical documentation within these systems is accurate, accessible, and compliant with both internal policies and external auditing standards. The position offers a starting pay range of $25 to $30 per hour, reflecting the importance and specialist nature of the work.
The individual in this role will be responsible for managing critical processes such as the unlocking and unsigning of session notes according to established compliance procedures. They will analyze payroll and billing discrepancies to guide associates on the necessary corrective actions and review correction requests from clinicians to maintain documentation standards. This role also involves overseeing the lifecycle of client records by creating new participant profiles and securely archiving records of discharged clients to ensure the active census data remains precise. Furthermore, the role includes managing the digitization and uploading of downtime forms, especially when offline system use or lack of connectivity affects field staff, ensuring paper-based session data is correctly uploaded for billing and clinical purposes.
In addition to these core responsibilities, the individual will conduct periodic audits of unsigned notes queues to ensure timely filing of clinical sessions and prevent drafts from lingering in the system. Collaboration with clinicians and various departments is essential to enforce regulatory billing requirements and labor law mandates uniformly across the organization. The role demands a high level of attention to detail, critical thinking skills to understand workflow impacts, and the ability to work cooperatively with cross-functional teams. The role is suited for candidates with a Bachelor's degree in Health Informatics, Information Technology, Computer Science, Medical Billing, or a related health field such as Health Administration. Prior clinical experience and familiarity working with EHR systems are necessary, ideally supplemented by experience handling system updates, module rollouts, or data migration projects. Candidates with backgrounds in regulatory compliance, payroll administration, or revenue cycle management will find their skills particularly relevant to this position. Additionally, proficiency in Microsoft Office Suite is mandatory, alongside the ability to obtain and maintain criminal record and fingerprint clearance as required by Easterseals Southern California and specific program guidelines. The position also necessitates passing all required drug screenings.
Physically, the job involves occasional lifting or carrying up to 30 pounds, standing or walking up to three hours daily, and frequent sitting for extended periods up to eight hours, with repetitive motion such as keyboarding and writing. Work is conducted primarily in a standard office environment.

Job Duties
