Job Description

The organization is currently seeking a detail-oriented and highly skilled professional to serve as the gatekeeper for its Practice Management (PM) and Electronic Health Record (EHR) platforms. This position plays a critical role in ensuring that clinical documentation across the organization is accurate, accessible, and compliant with both internal corporate standards and external auditing requirements. The role offers a starting pay rate of $25-30 per hour and presents an exciting opportunity for individuals passionate about healthcare informatics and regulatory compliance.

The position involves managing processes such as unlocking and unsigning session notes, analyzing billing and payroll discrepancies, reviewing requests for corrections from clinical staff such as BCBAs and BI/BTs, and overseeing the entire lifecycle of participant profiles from manual record creation to secure archival or removal of discharged participants. The responsibilities also extend to managing the digitization and uploading of downtime forms and ensuring the accurate handling of paper-based session data when digital systems are unavailable or field staff experience connectivity issues.

Periodic audits of unsigned notes are conducted to maintain compliance with timely filing requirements, and this role interfaces with clinicians and other departments to enforce organization-wide policies compliant with regulatory billing laws and labor mandates. The ideal candidate will have a strong understanding of how clinical data is structured, stored, and inputted, combined with critical thinking skills to assess how workflow changes within the system might impact clinical care and staff workload. The role also requires proficiency in Microsoft Office, the ability to work collaboratively with cross-functional teams, and the successful completion of background and drug screenings.

This position is vital to maintaining the integrity and efficiency of clinical documentation and billing processes within Easterseals Southern California, ensuring that the organization continues to meet its mission of supporting individuals with disabilities through high-quality and compliant healthcare services.

Job Requirements

  • Bachelor's degree preferred
  • 1-2 years experience in clinical setting
  • 1-2 years experience with EHR systems
  • Experience with system updates or data migration preferred
  • Knowledge of regulatory compliance and payroll administration preferred
  • Ability to follow documentation and privacy standards
  • Strong critical thinking skills
  • Proficient in Microsoft Office
  • Ability to obtain DOJ and FBI clearance
  • Must pass drug testing
  • Occasional lifting up to 30 lbs
  • Ability to stand up to 3 hours daily
  • Ability to sit up to 8 hours daily

Job Qualifications

  • Bachelor's degree in health informatics, information technology, computer science, medical billing, or a health-related field (e.g., health administration) preferred
  • 1-2 years experience working in a clinical setting
  • 1-2 years experience working directly with EHR systems
  • Experience with system updates, module rollouts, or data migration preferred
  • Experience in regulatory compliance, payroll administration, or revenue cycle management preferred
  • Understanding how clinical data is structured, stored, and input
  • Ability to follow established documentation, privacy, and retention standards consistently
  • Critical thinking skills to evaluate workflow changes impact on clinical care or associate workload
  • Ability to work collaboratively with cross-functional teams
  • Proficiency in Microsoft Office Suite
  • Ability to obtain and maintain a criminal record/fingerprint clearance from the Department of Justice and Federal Bureau of Investigation per ESSC and/or program requirements
  • Must pass all required drug testing by ESSC

Job Duties

  • Manages and unlocking and unsigning process for session notes in accordance with established documentation and compliance procedures
  • Analyzes billing and payroll discrepancies to determine corrective action and provide clear guidance to associates on required next steps
  • Reviews correction requests from BCBAs and BI/BTs to ensure edits align with documentation standards and compliance protocols prior to re-finalization
  • Oversees the full lifecycle of participant profiles within the system, including manual creation of new client records and secure archiving/removal of discharged participants to maintain an accurate active census
  • Manages the digitization and uploading of downtime Forms
  • Ensures paper-based session data is accurately uploaded and linked to the correct client record for billing and clinical tracking during system outages or connectivity issues
  • Conducts periodic audits of the Unsigned Notes queue to ensure providers meet timely filing requirements and prevent sessions from remaining in draft status
  • Interfaces with clinicians and other departments to enforce organization procedures that adhere to regulatory billing requirements and labor law mandates
  • Performs other duties as assigned
