Job Description
Haven Headache and Migraine Center is a pioneering virtual-first specialty clinic dedicated exclusively to patients suffering from migraine and headache disorders. Co-founded by board-certified headache specialists, Haven is committed to building the future of headache care by combining expert, compassionate treatment with advanced telehealth services to ensure accessibility and convenience for its patients. While the clinic primarily operates through telehealth, the in-clinic services offered at the Beverly Hills location play a critical role in providing holistic care and support to patients with chronic headache conditions.

We are currently seeking a compassionate and organized Front Desk Coordinator to join our team on a part-time basis at our Beverly Hills clinic. This role reports directly to the Senior Operations Manager of In-Clinic Services and is vital for maintaining a seamless, quiet, and efficient patient experience. As the face of the clinic, the Front Desk Coordinator will serve as the first point of contact for patients, many of whom experience sensitivity to light and sound due to their conditions.
The Front Desk Coordinator is responsible for managing clinical flow, greeting patients with empathy, and ensuring that the clinic environment supports the unique needs of those with migraines. The role requires multitasking between administrative duties and clinical preparation, including managing supplies and maintaining inventory to help providers deliver the highest standard of care. The Coordinator will monitor providers' schedules, escort patients to exam rooms promptly, and schedule follow-up visits to ensure continuity of care.
This position requires exceptional interpersonal skills, especially the ability to communicate with a gentle and empathetic style suitable for patients experiencing pain. The candidate should be mindful of environmental triggers like scents and lighting that could exacerbate patients' conditions. Familiarity with Electronic Health Records (EHR) and scheduling software is essential, along with strict adherence to patient confidentiality and HIPAA guidelines.
The role offers the opportunity to contribute meaningfully to a specialty practice that is shaping the future of headache care. Starting as a part-time position working one day per week (Wednesdays from 8 AM to 5 PM), there is potential for additional hours as patient volume expands locally. Candidates will be joining a dynamic and supportive team dedicated to innovative, patient-centered care in a supportive clinical setting.

Job Requirements
- High school diploma or GED
- 1-2 years of experience in a medical front office or high-end hospitality role preferred
- Exceptional interpersonal skills with empathy and soft communication style
- Awareness and willingness to maintain scent-free and low-light environments
- Ability to multitask effectively between administrative and inventory duties
- Knowledge of Electronic Health Records (EHR) and basic scheduling software
- Commitment to HIPAA compliance and patient confidentiality
- Ability to stand and walk for extended periods
- Ability to lift up to 20 pounds for stocking supplies and moving packages
Job Qualifications

Job Duties
- Greet patients upon arrival ensuring a calm and quiet environment appropriate for those suffering from migraines and light sensitivity
- Monitor the provider's schedule and personally escort patients to exam rooms as soon as the provider is ready
- Schedule follow-up appointments immediately following the patient's visit ensuring they have a clear plan for their next stage of care
- Confidently answer patient questions regarding office policies scheduling and general clinic information
- Conduct basic supply preparation for providers at the start of each day such as setting out procedure trays and ensuring exam rooms are stocked
- Receive and sign for all incoming packages including temperature-sensitive medical supplies
- Organize and restock medical supplies in the back room and designated refrigerators following all safety and storage protocols
