This position is for a bilingual English and Spanish Secretary/Receptionist role within Fresenius Kidney Care's clinical setting. The role primarily involves performing general office duties, including a variety of basic and routine clerical and secretarial functions in a busy healthcare environment. Serving as the "face" of one of the outpatient or hospital facilities, the individual will be an integral member of a cross-functional team, contributing administrative support to maintain efficient clinic operations. This role significantly impacts the overall patient experience through excellent customer service and effective communication skills.

The Secretary/Receptionist will be responsible for managing front desk interactions, answering telephone calls, greeting patients and guests professionally, and maintaining a welcoming and professional environment in the reception and waiting areas. Additionally, the role involves essential scheduling and registration responsibilities, including maintaining accurate hospitalization and patient travel records, coordinating patient appointments and ancillary testing, completing and organizing admission paperwork, and assisting with medical appointment referrals and transportation coordination.

Administrative duties also form a critical component of this role, encompassing setting up and maintaining filing systems and databases, preparing purchase orders, managing accounts receivable and payable functions, maintaining inventory of office supplies, auditing medical records for compliance, and assisting with continuous quality improvement data collection. The role emphasizes confidentiality in handling patient information, adherence to company policies, and compliance with medical records standards.

Strong organizational, multitasking, and communication skills are essential to succeed in this dynamic role within a healthcare environment. Proficiency in Microsoft Office applications and the ability to adapt to various software systems are required. The position demands a professional attitude and appearance, a customer service orientation, and resourcefulness in managing issues as they arise. The job does not include supervisory responsibilities and is performed primarily at a desk in a clinical facility with potential exposure to infectious materials and occasional travel between locations.

Job Duties

  • Answering telephone and routing calls to the appropriate person

  • scan monthly insurance cards
  • set up and maintain filing systems and databases
  • complete forms and reports as required
  • prepare purchase orders
  • assist with accounts receivable and payable functions
  • maintain inventory of office supplies
  • audit medical records for compliance
  • assist with patient demographic and quality improvement data collection
  • assemble, file, and maintain patient medical records
  • print patient schedules and pull charts daily
  • arrange package pickup and delivery
  • assist with month-end reporting
