The Secretary/Receptionist position at Fresenius Kidney Care is a vital role that serves as the initial point of contact for patients, families, and visitors at outpatient clinics or hospital settings. This role requires a skilled administrative professional who can maintain clinic operations efficiently while providing outstanding customer care to individuals living with kidney disease. As the face of the clinic, the receptionist is responsible not only for greeting and assisting patients but also for a variety of clerical and secretarial tasks essential to the daily function of the facility. This includes answering and routing phone calls, scheduling appointments, managing patient records, and supporting clinical staff with data entry and compliance auditing.
The position is designed for someone with at least a high school diploma or GED and some experience in healthcare-related administrative duties. Preference is given to candidates with 1-2 years of related experience and proficient computer skills, especially in Microsoft Office applications. Job Duties
- Answering telephone and routing calls to the appropriate person
- professionally greet all patients and guests
- maintain a professional environment at all times and monitor reception and waiting areas
- distribute incoming mail
- obtain necessary signatures to ensure efficient processing of admissions data
- ensure all aspects of patient confidentiality are maintained
- maintain accurate records of hospitalization and patient travel
- prepare medical records for facsimile or mail related to travel, transplant, or disability
- organize travel for patients and coordinate transient patient paperwork
- confirm admissions paperwork completion and send to designated departments
- assist with medical appointment referrals and scheduling
- assist with transportation coordination and referrals
- ensure data entry for Crown Web related to ESRD 2728, ESRD 2746, and PART
- perform monthly insurance card scanning
- set up and maintain filing systems and basic databases
- complete forms and reports required by various company offices and vendors
- prepare purchase orders using appropriate software
- assist with accounts receivable and payable functions
- maintain office supply inventory
- assist in auditing medical records for compliance
- assist in collecting patient demographic and quality improvement data
- assemble, file, and maintain patient medical records
- print patient schedules and pull patient charts daily
- arrange package pickup and delivery
- assist with month-end reporting requirements
- participate in center/team huddles and staff meetings
- attend education and training sessions and apply key learnings
