The Client Services Associate role at SPS is pivotal in maintaining the seamless operation of mail and office services within the company’s business service centers. Reporting to the Client Services Supervisor, Manager, or equivalent leadership, the Client Services Associate delivers operational functions that include processing inbound and outbound mail, distributing and delivering packages, managing shipping and receiving of products and supplies, and keeping office supplies organized and replenished. The associate is also responsible for ensuring copy and print machines are functional and stocked with necessary materials, providing backup reception or concierge support, and undertaking light maintenance and cleaning duties.
This role requires the highest level of professionalism and customer service; the Client Services Associate serves as a critical touchpoint for all company personnel and clients, maintaining a courteous, efficient, and professional image of SPS at all times. The position is integral to supporting the daily logistics and operational activities that ensure the business service center runs efficiently and effectively. Job Duties
- Provides 5-star customer service to all employees in all forms of communication
- receives inbound mail and packages, sorts incoming mail and inputs into chain of custody software
- manages outgoing mail and package transactions
- performs duties associated with shipping and receiving materials
- notifies employees upon receipt of inbound deliveries
- distributes mail and packages to company personnel
- acts as point of contact for mail and package inquiries
- performs daily operations of multifunction devices ensuring functionality and replenish toner and paper
- submits work orders for requests
- services and replenishes barista, pantry, conference, kitchen, or meeting areas
- performs meeting room and conference room setups
- may perform building occupant moves
- performs light maintenance and cleaning duties
- maintains business service center area neat and orderly
- monitors and replenishes office supplies
- assists with copy and print orders and monitors equipment functionality
- proactively seeks additional work during downtime
- builds professional relationships with customers and other teams
- maintains professionalism and composure when interacting with employees
- trains backup staff and provides guidance on policies and procedures
