The role of Client Relations Coordinator at Carroll Institute is an essential position focused on maintaining smooth front desk operations and ensuring that every client receives a welcoming, positive experience from the moment they interact with the facility. The Client Relations Coordinator acts as a crucial communication hub, answering phones and emails, directing clients, assisting with paperwork, scheduling appointments, and providing administrative support across several departments. Job Requirements

  • High school diploma or equivalent
  • prior experience in customer service or front desk operations
  • strong verbal and written communication skills
  • proficiency with computer applications and electronic health records
  • ability to handle multiple tasks simultaneously
  • dependable and punctual
  • sensitivity to client confidentiality and privacy
  • physical ability to perform front desk duties including answering phones and managing paperwork

Job Qualifications

  • High school diploma or equivalent
  • experience in customer service or administrative roles preferred
  • strong communication skills
  • basic computer proficiency including knowledge of electronic health records
  • ability to multitask and work in a fast-paced environment

Job Duties

  • Answer phones and greet clients and visitors in person
  • respond to emails and faxes from various stakeholders
  • set appointments
  • assist in information requests
  • take payments
  • process client paperwork including scanning and faxing
  • perform data entry in various Electronic Health Records
  • provide back up support for Administrative Assistant and other support staff
  • collect data, prepare reports, and participate in program evaluation
  • administer drug testing services
  • communicate with local referral sources and community agencies
  • participate in staff meetings
  • establish and maintain a welcoming environment for clients
  • perform other assigned duties
