The Client Concierge position is essential to the company’s success, acting as the first point of contact for clients and playing a pivotal role in ensuring that every patient receives outstanding care, attention, and service from the moment they walk through the door. This role requires a warm, friendly, and polished individual who thrives in a fast-paced setting and is dedicated to providing an exceptional customer experience.
The Client Concierge will manage front desk responsibilities including greeting clients warmly in person and over the phone, checking patients in and out, assisting with appointment scheduling, and maintaining an organized and professional environment. They will provide basic education about the comprehensive menu of services offered, ensuring that clients feel informed and comfortable throughout their visit. Additionally, the Client Concierge will support providers and managers by managing appointment books and ensuring smooth communication across the team. Key to this role is maintaining compliance with company policies and HIPAA regulations to protect patient confidentiality and uphold the integrity of the company.
This position requires a flexible schedule, including availability to work weekends, and a friendly demeanor paired with excellent communication skills, both written and verbal. The ideal candidate will have at least one year of customer service experience, preferably in a med spa or medical office setting. Attention to detail, the ability to multitask, and a genuine desire to provide outstanding service are critical traits for success in this role. Knowledge of Microsoft Office applications is necessary, and bilingual candidates are preferred to serve a diverse client base effectively.

Job Requirements
- Previous customer service experience
- Flexible schedule with the ability to work weekends
- Previous experience working in a med spa or medical office preferred
- Excellent written and verbal communication skills
- Ability to communicate with proper etiquette
- Ability to multi-task while being attentive to clients and remaining flexible to the needs of the business
- Ability to work as part of a team and take initiative
- Enthusiastic, friendly and energetic personality with a genuine desire to provide outstanding service
- Must maintain patient/client confidentiality in accordance with HIPAA regulations and company policy
- Must maintain a high level of integrity with a strong ethical foundation
- Must have sound judgment, problem solving, and decision-making skills
- Must be able to sit or stand for long periods of time
- Must be able to reach above shoulder height, crawl, kneel, and push/pull up 50 lbs
- Must have a working knowledge of Microsoft applications
- Bilingual preference given

Job Duties
- Warmly greeting clients in person and over the phone
- Providing basic knowledge and education about our wide variety of services
- Manage front desk duties such as checking patients in/out, answering phone calls, greeting clients, overseeing inventory counts, and keeping supplies fully stocked while ensuring a positive and warm experience for our clients
- Maintain a clean and professional environment throughout the facility
- Assist providers and managers with client scheduling and maintaining the appointment books
- Comply with all company policies and procedures to ensure streamlined processes within the location
- Ensure POS system is managed effectively and accurately with all client appointment and employee information added
