As a Client Concierge, you will serve as the friendly, knowledgeable face of the spa, managing front desk operations, scheduling appointments, educating clients about various treatments, and ensuring a welcoming environment that aligns with company standards.

In this important position, you will greet clients warmly both in person and over the phone, providing clear and helpful information about the broad spectrum of medical spa services available. Your organizational skills will be key as you handle check-ins and check-outs efficiently, maintain inventory levels, and assist providers and managers in keeping appointment books accurately. Your role will also include maintaining cleanliness and professionalism in the facility, supporting smooth operational processes, and ensuring the point-of-sale system is accurate and up to date. By balancing multiple tasks and exhibiting exceptional customer service, you will help sustain the spa’s reputation for excellence and client satisfaction.

Job Requirements

  • Previous customer service experience (1 year)
  • flexible schedule with the ability to work weekends
  • previous experience working in a med spa or medical office preferred
  • excellent written and verbal communication skills
  • ability to communicate with proper etiquette
  • ability to multi-task while being attentive to clients and remaining flexible to the needs of the business
  • ability to work as part of a team and take initiative
  • enthusiastic, friendly and energetic personality with a genuine desire to provide outstanding service
  • must maintain patient/client confidentiality in accordance with HIPAA regulations and company policy
  • must maintain a high level of integrity with a strong ethical foundation
  • must have sound judgment, problem solving, and decision-making skills
  • must be able to sit or stand for long periods of time
  • must be able to reach above shoulder height, crawl, kneel, and push/pull up 50 lbs
  • must have a working knowledge of Microsoft applications
  • bilingual preference given
  • other duties as assigned

Job Duties

  • Warmly greeting clients in person and over the phone
  • providing basic knowledge and education about our wide variety of services
  • manage front desk duties such as checking patients in/out, answering phone calls, greeting clients, overseeing inventory counts, and keeping supplies fully stocked while ensuring a positive and warm experience for our clients
  • maintain a clean and professional environment throughout the facility
  • assist providers and managers with client scheduling and maintaining the appointment books
  • comply with all company policies and procedures to ensure streamlined processes within the location
  • ensure POS system is managed effectively and accurately with all client appointment and employee information added
