The role of Client Concierge at It's A Secret Med Spa is a key position focused on delivering an exceptional client experience from the moment clients arrive at the spa. This full-time role requires an enthusiastic, polished individual who thrives in a dynamic, fast-paced environment and enjoys interacting directly with clients. Client Concierges warmly greet clients in person and via telephone, providing foundational knowledge about the spa's extensive array of treatments and services to educate and assist clients in making informed decisions. The role also involves managing the front desk operations including checking clients in and out, answering and directing calls, overseeing inventory, and maintaining a clean and inviting atmosphere throughout the spa. The Client Concierge supports providers and management teams by assisting with scheduling and maintaining appointment books, ensuring the smooth flow of daily operations.
Candidates for this role must display strong communication skills with an emphasis on etiquette and professionalism. They need to be flexible with scheduling, including availability on weekends, and adept at multitasking while maintaining attentiveness to clients' needs. A background in customer service is essential, with preference given to those who have med spa or medical office experience. Maintaining client confidentiality per HIPAA and company policies is critical, as is exercising sound judgment, problem-solving abilities, and a high level of integrity. Physical requirements include the ability to stand or sit for extended periods, and perform some light physical tasks like reaching, kneeling, and lifting up to 50 pounds. Computer literacy, particularly with Microsoft applications and POS systems, is necessary to manage client and appointment information accurately. Job Duties
- Warmly greeting clients in person and over the phone
- providing basic knowledge and education about our wide variety of services
- manage front desk duties such as checking patients in/out, answering phone calls, greeting clients, overseeing inventory counts, and keeping supplies fully stocked while ensuring a positive and warm experience for our clients
- maintain a clean and professional environment throughout the facility
- assist providers and managers with client scheduling and maintaining the appointment books
- comply with all company policies and procedures to ensure streamlined processes within the location
- ensure POS system is managed effectively and accurately with all client appointment and employee information added
