Job Requirements

  • Education level not specified
  • Prior experience in a front desk, receptionist, or client-facing role preferred
  • Strong communication skills
  • Exceptional organizational skills
  • Professionalism and discretion with confidential information
  • Ability to multitask in a fast-paced environment
  • Residency in NJ/Philadelphia area
  • Availability for full-time work from 8:30 AM to 4:30 PM
  • Willingness to work on-site

Job Qualifications

  • Prior experience in a front desk, receptionist, or client-facing role preferred
  • Strong communication skills - warm, clear, and professional on the phone and in person
  • Exceptional organizational skills and attention to detail
  • Discretion and professionalism when handling confidential client information
  • Ability to manage multiple priorities calmly in a fast-paced environment
  • Experience with scheduling software or CRM platforms a plus
  • Interest in financial services or wealth management a plus

Job Duties

  • Answer inbound client calls and serve as a warm, professional first point of contact
  • Greet and welcome clients and visitors as they arrive, creating a strong first impression
  • Schedule and coordinate client meetings - phone calls, Zoom sessions, and in-person appointments
  • Prepare meeting prep sheets so advisors are ready and clients feel remembered
  • Upload and maintain scanned meeting notes and documents
  • Monitor and order office supplies to keep the office running smoothly
