The role of Client Concierge at It’s A Secret Med Spa is a pivotal position that serves as the first point of contact for clients. This full-time position combines customer service excellence with administrative responsibilities to ensure a seamless client experience from arrival through departure. You will warmly greet clients both in person and over the phone, providing them with foundational knowledge about the spa’s comprehensive suite of services. Your day will include managing various front desk duties such as checking patients in and out, answering phones, overseeing the inventory of supplies, scheduling appointments, and maintaining a clean and professional facility. The role requires a flexible schedule, including the ability to work weekends, as well as a high level of professionalism and customer service acumen. The ideal candidate will have prior customer service experience, ideally in a med spa or medical office setting, and excellent communication skills that reflect proper etiquette and friendly demeanor. They must be capable of multitasking efficiently while maintaining attentiveness to client needs and the dynamic nature of the business. Confidentiality and adherence to HIPAA regulations are critical components of the position.

Job Requirements

  • Previous customer service experience of at least one year
  • Flexible schedule with weekend availability
  • Experience in a med spa or medical office preferred
  • Excellent communication skills
  • Ability to multi-task and be attentive to clients
  • Team player with initiative
  • Ability to maintain confidentiality per HIPAA
  • High level of integrity
  • Strong judgment and problem-solving skills
  • Ability to sit or stand for long periods
  • Ability to reach above shoulder height, crawl, kneel, and push or pull up to 50 lbs
  • Working knowledge of Microsoft applications
  • Bilingual candidates preferred
  • Willingness to perform other duties as assigned
  • Adaptability to changes in job duties as notified by supervisor

Job Duties

  • Warmly greeting clients in person and over the phone
  • Providing basic knowledge and education about spa services
  • Managing front desk duties including checking patients in and out and answering phone calls
  • Overseeing inventory counts and keeping supplies fully stocked
  • Maintaining a clean and professional environment throughout the facility
  • Assisting providers and managers with client scheduling and appointment book maintenance
  • Complying with all company policies and ensuring streamlined processes
  • Managing the POS system effectively with accurate appointment and employee information
