Within the Department of the District Attorney, an important role is available for a Clerical Specialist/Receptionist. This is a full-time, career service position positioned under the AFSCME Court-Related Non-Professional union designation, with a salary of $37,337.00 annually. The role is based at the Northampton County Courthouse and reports directly to the Office Supervisor.

The Clerical Specialist/Receptionist acts as the initial point of contact for both telephone callers and office visitors, requiring strong customer service skills and a professional demeanor. Approximately 75% of the job focuses on managing incoming phone calls effectively, ensuring that callers receive prompt and accurate information or are directed to the appropriate staff. This role involves a variety of clerical support tasks, essential to the smooth operation of the District Attorney’s office, such as organizing files, preparing and distributing court documents, handling mass mailings, composing correspondence, and managing fax and email communications.

Job Duties

  • Answer telephone calls and receive visitors to office
  • provide exceptional customer service by effectively communicating with visitors by telephone, email, or in person
  • adequately resolve visitors' issues or direct visitors to appropriate staff able to provide assistance
  • establish and maintain files in alphabetic, chronological, numerical, or other basis
  • retrieve requested materials from files
  • sign, date-stamp, or otherwise identify and/or control files
  • assemble and make sufficient copies of Court records, agendas, case files, and other required documents
  • prepare and mail large quantity/mass mailings
  • distribute to all required recipients in a timely manner
  • scan, email, and mail documents efficiently
  • compose correspondence using Microsoft Office and Outlook or any other necessary applications
  • process all faxed and mailed correspondence received in the department
  • sort and distribute to appropriate parties
  • assist in the training of other clerical staff as necessary
  • participate in cross training as necessary in order to develop areas of specialization
  • act as a back-up for other clerical staff in the office as necessary
  • provide coverage in these areas due to absences, vacancies, or as assigned by the Office Supervisor
