The role offered is for a full-time Classroom and Event Scheduling Coordinator based on Augusta University’s campuses. Reporting primarily from the Health Sciences and Summerville campuses in Augusta, GA, this position acts as the functional administrator for the university’s scheduling and space management system. The incumbent will take primary responsibility for scheduling academic classes and managing enterprise-wide events while maximizing space utilization within classrooms and meeting venues. The scheduling coordinator ensures strict compliance with university policies governing classroom and event scheduling and coordinates support staff accordingly.
Key responsibilities include resolving conflicts and disputes relating to course and event placement, maintaining updated and accurate space information within the scheduling systems such as EMS and Banner, and producing detailed utilization reports that aid university decision-making. The position entails significant communication and relationship-building across multiple university departments including the Registrar’s Office, various colleges, special event units, and external affairs. The coordinator must expertly administer the EMS software system, scheduling numerous academic and special events for both the university and the general public, providing logistical information and technical support as needed.
The candidate will also play an instrumental role in improving scheduling processes and troubleshooting technical issues by collaborating with IT analysts to maintain the scheduling system. Facilitating urgent room reassignments during emergencies and assisting in coordination with campus facilities and instructional systems further falls within this crucial role. This position demands a detail-oriented, highly organized professional capable of multitasking and navigating complex scheduling scenarios, equipped with excellent interpersonal skills to maintain productive communications across a wide array of stakeholders.

Job Requirements
- High school diploma GED or equivalent from a recognized accrediting organization
- Four years of customer service experience working with enterprise software applications such as event scheduling systems
- Ability to communicate effectively both verbally and in writing
- Detail-oriented with strong organizational skills
- Capacity to work collaboratively with multiple university departments
- Willingness to undergo background check as required
- Availability to work weekdays during day shift
Job Qualifications
- High school diploma GED or equivalent
- Four years of customer service experience with enterprise software applications
- Experience with relational databases such as SQL preferred
- Proficiency in word processing and spreadsheet applications
- Excellent interpersonal written and verbal communication skills
- Strong organizational and prioritization skills
Job Duties
- Prepare communicate and distribute academic schedules each term for all colleges
- Prepare monthly space utilization reports with charts and graphs
- Maintain communication and relationships with Registrar's Office colleges and support organizations
- Identify and resolve scheduling conflicts and disputes among academic and event needs
- Manage space information for EMS and Banner systems
- Schedule academic classes and special events in compliance with university policies
- Provide training and support for EMS users and troubleshoot system errors
- Facilitate emergency room reassignments and coordinate with facilities and instructional systems
- Generate reports for decision makers including room usage and building utilization
- Manage contracts billing and related procedures for room usage
- Perform other duties as assigned
