Job Description
The Community House is a well-established nonprofit organization located in Birmingham, Michigan, dedicated to serving the diverse needs of both adult and youth community members through enriching programs, classes, and camps. The Community House is currently seeking a dedicated and organized individual to join their team as a Part-Time Class and Camp Coordinator. This role is ideal for a self-motivated professional with excellent communication and organizational skills, who thrives on coordinating various community programs efficiently and with a keen attention to detail. The position requires approximately 20 hours per week, typically scheduled Monday through Friday from 9 AM to 2 PM, with some flexibility needed for occasional evenings and weekends. This part-time exempt role is integral to the continued success and smooth operation of The Community House's wide range of class and camp offerings.
As the Class and Camp Coordinator, you will be responsible for overseeing all aspects of program registrations for adult and youth classes and camps, working closely with instructors, many of whom function as independent 1099 contractors, as well as seasonal camp staff. The position offers the opportunity to contribute meaningfully to program development by researching and planning new classes and camps that respond to community interests and needs while managing scheduling logistics using specialized software including ASAP and Caterease. You will also be responsible for ensuring that facilities and hospitality requirements are fulfilled, such as room set-ups and food and beverage arrangements, working collaboratively with facilities personnel. Additionally, you will maintain student registrations, manage instructor contracts and compensation, and play an active role in marketing efforts through email newsletters and local publications.
This role demands a mix of administrative expertise, interpersonal engagement, and creative problem-solving to ensure that every class and camp runs smoothly and effectively. You will act as a liaison between multiple departments including Accounting, Facilities, Marketing Communications, and Volunteer Coordination, ensuring seamless communication and support. Attending and observing select classes will provide you with direct insight into program quality, enabling you to prepare detailed reports for leadership and assist in updating marketing materials and procedure manuals. Your ability to handle diverse tasks while maintaining a positive disposition and high professional standards will be key to thriving in this role.

Job Requirements
- Education level of college graduate preferred

Job Duties
- Oversees implementation and execution of all classes and camps
- researches and plans new classes and camps based on community interest and available resources
- schedules class terms as well as dates, times, and instructors for classes and camps
- schedules classes and camps in Caterease software
- ensures room set-ups, food and beverage, and other requirements are requested and executed with facilities personnel
- develops monthly listings of classes and camps for Constant Contact emails and input into President’s monthly DOWNTOWN Newsmagazine column
- oversees student registration and database operations using ASAP software
- maintains ASAP software including accepting registrations, preparing rosters, overseeing online registration, administering instructor access, applying upgrades, and generating reports
- oversees administration and training of 1099 instructors
- maintains class and instructor files
- prepares and executes instructor contracts, hiring paperwork, and background checks
- prepares and submits monthly compensation for 1099 instructors to Accounting
- sends out surveys after classes
- functions as liaison with other departments to ensure set-ups, volunteers, and hospitality requirements are communicated
- attends and observes a minimum of two unique classes per term
- prepares weekly Friday report for 1:1 meetings with President
- assists in updating class flyers and procedure manuals
- coordinates volunteers for classes and camps as required
- works with Senior Director of Marketing Communications to develop effective marketing plans incorporating traditional and social media
- performs related duties as assigned
- attends general Management Team staff meetings
- supports the mission of The Community House
- builds relationships with 1099 instructors (independent contractors).
