The City of Minnetonka is actively seeking a reliable and personable City Hall Receptionist to join the General Administration/City Clerk division within its Administration Department. This flexible part-time, on-call position offers an hourly wage of $27.90 and is based at the City Hall located at 14600 Minnetonka Blvd, Minnetonka, MN. This role is a non-benefit earning opportunity, meaning it does not include traditional benefits, and work hours may vary depending on department needs with no guaranteed minimum hours.
The primary focus of the City Hall Receptionist is to serve as the initial point of contact for all visitors and callers to City Hall, thereby ensuring that all public interactions are handled with the utmost professionalism and customer service excellence. Responsibilities include managing the reception area phone console, welcoming and assisting visitors in person, directing them or their calls to the appropriate departments, and providing support for various administrative and clerical tasks. The receptionist also assists the public in completing forms and applications such as voter registrations, absentee ballots, and employment applications, and supports election night activities. Additionally, the role involves ordering and organizing office supplies, supporting records management, coordinating mail distribution, and making arrangements for city functions including council meeting suppers.
This position requires a candidate with strong interpersonal skills, a public service orientation, and the ability to handle multiple tasks efficiently in a customer-facing environment. Experience with multi-line telephone systems and previous work in customer service is essential to succeed in this role. The ideal candidate will possess a high school diploma or GED, demonstrate capabilities with common office software such as the Microsoft Suite, and have familiarity with general office procedures and event support services like catering. Job Requirements
- High School diploma or GED
- Minimum two years experience in customer service
- Experience operating multi-line telephone systems
- Public service orientation
- Ability to perform physical tasks including lifting up to 50 pounds
- Ability to manage workload and time effectively
- Skill in providing high level customer service
- Ability to use office equipment including telephone consoles, fax, copy machines and personal computers
Job Qualifications
- A commitment to and belief in the organization’s shared values
- High School/GED diploma
- Two years experience in a previous customer service position
- Two years experience in operating a multi-line telephone answering system
- Possess a public service orientation
- Post high school course study relating to customer service
- Previous experience in a public sector position involving receptionist and telephone answering duties
- Ability to use Microsoft Suite
Job Duties
- Performs customer service duties relating to the reception area phone console and visitors to city offices
- Responds to requests for information online or in person and directs calls and visitors to the appropriate individual or department
- Assists the public in completing applications and forms such as voter registration, absentee ballots, and employment applications
- Provides assistance with election night activities
- Performs duties relating to processing incoming and outgoing mail including sorting, distribution, and posting
- Receives and coordinates special deliveries
- Responsible for ordering, stocking, and organizing the office supply storage area
- Performs duties related to ordering food and making arrangements for council meeting suppers and city functions
- Acts as Notary Public
- Assists with records management program
- Provides clerical support for the personnel division including maintaining the language line, copying, filing, and stuffing envelopes
- Provides clerical support for the organization including preparing and distributing new homeowners' packets, maintaining postage use records, and assisting with absentee voting
- Responsible for maintaining mail processing center, public use terminal area, office supply closet, telephone console and related equipment
- Performs other assigned duties
