Job Description

The city hall is a central hub for municipal operations and serves as the primary location for administrative functions, citizen engagement, and public services. As a government facility, it connects various city departments and acts as a vital resource for residents, businesses, and visitors seeking information or assistance on a wide array of civic matters. The city hall values transparency, efficiency, and excellent public service, striving to provide an accessible and welcoming environment for all who enter its doors. The institution is committed to upholding the local government’s mission by facilitating communication and offering essential services to its community in a professional and courteous manner.

This position is for an on-call Receptionist at the city hall, a role that plays a crucial part in serving as the first point of contact for visitors and callers. The primary focus of this role involves delivering outstanding customer service both in person and over the phone. As an on-call, non-benefit-earning position, the work hours for this role will vary according to departmental needs and are not guaranteed, offering flexibility for individuals seeking supplemental employment or part-time work. The responsibilities span a variety of customer service and clerical duties, making this a dynamic and impactful role within the city administration.

The receptionist will manage the reception area, operating the phone console, welcoming visitors, and directing inquiries to the appropriate city departments or personnel. This role requires handling requests for information both online and in person, assisting the public with tasks such as completing applications for voter registration, absentee ballots, employment, and election night activities. Additionally, the position includes providing support to visitors conducting research on public-use terminals.

In addition to these front-line duties, the individual will also process incoming and outgoing mail, coordinate special deliveries, manage office supplies, organize food orders for council meetings and city functions, and provide notary public services. Clerical responsibilities also encompass supporting the personnel division with tasks like maintaining the language line, managing files, and preparing mails for various city departments.

This position demands a highly organized and customer-oriented individual capable of multitasking and working collaboratively with both city employees and the public. The role also involves managing several equipment and facility areas including the mail processing center, public terminal area, office supply closet, and telephone equipment. The ability to maintain these resources effectively contributes to the smooth operation of the city hall.

Successful candidates will demonstrate strong skills in customer service, be proficient with office equipment such as telephone consoles, computers, postage machines, fax machines, and copiers, and possess the ability to interact diplomatically and empathetically with the public. The role also requires effective management of workloads and time commitments while maintaining professional relationships with city officials, employees, and residents. Physical demands of the job include frequent light lifting and occasional moderate lifting, with the work environment being generally quiet and office-based.

Overall, the city hall receptionist position is an excellent opportunity for individuals interested in public service and who excel in a multifaceted administrative support role. It requires dedication, flexibility, and a friendly approach to daily interactions that involve a broad range of municipal functions, offering a unique window into city government operations while helping to ensure a positive experience for everyone who visits or contacts the city hall.
