Job Description
The Front Desk Coordinator position is a vital role within a dynamic church environment, focused on supporting the daily operations at the HUB and serving as an administrative backbone to the Operations Director, HR Director, and the creative team. This church is dedicated to fostering community engagement and delivering meaningful events that cater to congregants and visitors alike. With a strong commitment to volunteer involvement and event coordination, this position plays an essential part in ensuring the seamless execution of church activities and special initiatives.
As a Front Desk Coordinator, you will be the first point of contact at the HUB, handling daily front desk activities such as answering phones, greeting visitors, and managing inquiries with professionalism and warmth. You will also play a crucial role in supporting the Operations Director as well as the creative team by managing content, digital presence, and promotional materials. This includes collaborating with the creative department to design and distribute graphics, advertisements, and social media event listings, thereby enhancing the church’s outreach and visibility.
This role embraces volunteer coordination as a central focus, taking responsibility for volunteer applications through Planning Center workflows, maintaining accurate and compliant volunteer files, and conducting regular audits to ensure adherence to human resource standards. Acting as the Volunteer Coordinator, you will oversee key volunteer teams such as Sunday Ushers, Greeters, New Guest Desk attendants, Volunteer Desk staff, and HUB info desk volunteers, ensuring these roles are staffed and engaged, particularly during Special Sunday Services and major All Church Events.
A significant part of the Front Desk Coordinator's duties encompasses supporting church events ranging from seasonal celebrations such as Mother’s Day, Father’s Day, Easter, Christmas Eve Candlelight Service, to special community gatherings like the Ministry Fair, All Church Picnic, and Family Fun Night. You will coordinate event logistics, handle outside event requests in conjunction with the Events Pastor, order necessary supplies, and assist with event cleanup. This may include tasks such as laundering towels and linens, demonstrating your active involvement in all facets of church life.
Ideal candidates will bring excellent communication skills, proficiency with Microsoft Office, and web management experience. The ability to work independently under strict deadlines is crucial, as is the experience managing volunteers and coordinating events, particularly within a church setting. Experience with Planning Center software is essential, and payroll processing knowledge is considered a plus.
This is a part-time hourly position offering flexibility with 29 hours per week, centered mainly from 9 am to 3 pm Monday through Thursday, and 8 am to 1 pm on Sundays. Job Requirements
- High school diploma or equivalent
- 1-3 years of experience in event coordination or administrative roles, preferably in a church environment
- Proficiency in Microsoft Office suite
- Experience with Planning Center software
- Excellent communication and organizational skills
- Ability to manage multiple tasks and work under deadlines
- Reliable and punctual
- Ability to work Sunday mornings and flexible hours during peak event times
