The YMCA of Greater Brandywine (YGBW) is a non-profit community organization serving Chester County through nine branches, providing a wide array of programs dedicated to nurturing the potential of every child, promoting healthy living, and fostering social responsibility. This position focuses on developing and conducting specialized training sessions, contributing to the growth of programming within specific specialty areas such as dance, tennis, or martial arts for YMCA members. The role involves a mix of hands-on program development, staff coordination, and operational management to ensure a quality experience for both members and staff. The role is designed to capitalize on candidates' advanced expertise and experience in their specialty, with a minimum of 7 years of advanced practice or education sought in related fields. Responsibilities include creating and managing staff schedules for Child Watch services, coordinating staffing coverage for unexpected absences, supporting onboarding, training, and supervising staff members, and maintaining safety procedures in line with YMCA standards. The role extends to managing birthday party planning and coordination, acting as a primary contact for families, handling booking logistics, staffing needs, and on-site party supervision.
Administrative duties include accurate record-keeping for staffing, scheduling, birthday party documentation, effective communication with families and internal teams, and participation in program reporting and operational planning. Essential to the role is upholding YMCA safety and behavior policies, responding professionally to parent concerns, and fostering an inclusive and welcoming environment for children and families.
Candidates should possess strong technological skills for program management and communication, demonstrate advanced knowledge and teaching experience in their specialty area, and be committed to obtaining new hire certifications within 90 days. The physical demands of the role require agility, mobility, and the ability to lift or move up to 10 pounds occasionally, with comfort using computers and communication devices during extended periods. Job Duties
- create and manage Child Watch staff schedules to ensure coverage during all operating hours
- coordinate coverage for staff call outs including same day adjustments when needed
- communicate schedule changes clearly and promptly to staff and leadership
- support onboarding training reinforcement and daily supervision of Child Watch staff as assigned
- ensure staffing ratios safety procedures and YMCA policies are consistently followed
- manage the Child Watch birthday party calendar including scheduling confirmations and space coordination
- serve as the primary point of contact for families regarding birthday party inquiries and bookings
