The Center Operations Specialist role is integral to the USO’s mission by ensuring the smooth and efficient daily functioning of one or more USO Centers. These Centers function as versatile community hubs for service members, offering programs, classes, events, and amenities tailored to their unique needs. The Center Operations Specialist is responsible for maintaining a safe, inviting, and cost-effective environment that fosters positive experiences for visitors.

This position includes hands-on management of Center operations such as maintaining facilities and equipment, enforcing safety and food-handling regulations, and providing excellent customer service. Additionally, the Specialist acts as a liaison between military visitors, volunteers, vendors, and internal leadership to facilitate programs and activities that resonate with the military audience. They are charged with managing budgets, inventory, and cash handling, as well as contributing to operational reports that guide management decisions.

Moreover, the Center Operations Specialist supports program communication and marketing efforts by preparing announcements, collecting stories, and managing social media content aligned with USO branding guidelines. They also assist in planning, executing, and evaluating events both on and off military installations, ensuring each engagement is highly effective and meaningful.

Another key aspect of the role involves volunteer management, including coordinating volunteer recruitment, training, scheduling, and recognition programs. The Specialist works closely with military stakeholders, community leaders, partners, and donors to enhance the visibility and support of the USO mission, building and sustaining key relationships that benefit the organization and its service members.

Recognizing the diversity of the military community and the sensitive nature of many interactions, this role requires impeccable judgment, cultural awareness, and the ability to handle confidential information with discretion. Candidates should expect to work collaboratively in a dynamic team environment and possess strong organizational skills to juggle multiple priorities effectively. This position is located at Camp Pendleton, and preference will be given to candidates who are within commuting distance. The salary range for this position is $48,300 to $69,000, with compensation based on experience, skills, and alignment with job requirements. A background check and submission of a resume and cover letter are mandatory for consideration.

Job Requirements

  • High school diploma or equivalent
  • 2+ years work experience in event management marketing retail customer service recreation facility or related role
  • Relevant experience in a non-profit military multicultural or global organization preferred
  • Strong interpersonal customer service and problem-solving skills
  • Ability to interact professionally with USO leadership general public and military audiences
  • Proficiency with Microsoft Office Suite and general knowledge of volunteer management software and social media platforms
  • Ability to exercise sound judgment and handle confidential information tactfully
  • Demonstrated initiative self-motivation and attention to detail
  • Ability to manage multiple projects and adapt to changing organizational needs
  • Team collaboration skills
  • Basic math skills and cash handling procedures knowledge
  • Willingness to work non-standard hours
  • General knowledge of military community preferred
  • Ability to obtain and maintain necessary Center credentials including security and background checks
  • Ability to obtain and maintain valid passport and foreign driver’s license where applicable

Job Qualifications

  • High school diploma or equivalent
  • 2+ years work experience in event management marketing retail customer service recreation facility or a related role
  • Relevant experience in a non-profit military multicultural or global organization preferred

  • Ability to interact with USO leadership the general public and military audiences professionally
  • Proficiency using computers and electronics including Microsoft Office Suite
  • General knowledge of volunteer management software and social media platforms Experience with Digital Cheetah preferred
  • Ability to exercise sound judgment related to sensitive subjects and handle confidential information tactfully
  • Demonstrated initiative self-motivation attention to detail and ability to manage multiple projects
  • Ability to quickly adapt to changing organizational needs
  • Ability to work collaboratively in a team environment
  • Ability to perform basic math and follow cash donation handling and reporting procedures including project management and budget reconciliation
  • Willingness and ability to work non-standard hours as needed
  • General knowledge of military community preferred
  • Ability to obtain and maintain proper credentials for USO Center access including security credit and background screening
  • Ability to obtain and maintain a valid United States passport and foreign driver’s license where applicable
  • Strong advocate of the USO mission

Job Duties

  • Execute day-to-day Center operational procedures ensuring a cost-effective safe welcoming and clean environment
  • Monitor and maintain facilities and equipment ensuring they are ready-to-use
  • Enforce sanitary and food-handling guidelines and regulations
  • Engage and interact with Center visitors serving as a subject matter expert about amenities tours classes programs and services
  • Troubleshoot to resolve issues and may direct and manage vendors
  • Help maintain Center operations within budget monitor maintain and accurately report on inventory and handle cash
  • Provide data for financial operational and statistical reports as requested and provide ad hoc reports
  • Create and maintain Standard Operating Procedure files detailing local operational procedures and activities
  • Help plan oversee and lead execution of operational areas including programs logistics inventory management budget social media and database management
  • Assist with operations and programs communications and awareness including preparing announcements stories and photos for social media local media and website publications
  • Deliver or assist managing planning and evaluation of new and existing USO programs activities and events on and off military installations coordinating functions materials and assets
  • Assist in reviewing USO programs and service needs help research recommend new programs and implement changes
  • Develop improve and maintain working relationships with military community leaders partners donors and media representatives to enhance awareness and support
  • Coordinate resources including volunteers materials and supplies for all programs events and activities and oversee volunteer participation
  • Communicate key information to volunteers maintain and generate reports from volunteer database related to hours worked applications and other records
  • Direct prospective volunteers through application process coordinate on the job training implement volunteer recognition events and communicate volunteer improvement suggestions
  • May be required to operate a USO or personal motor vehicle
  • Perform other duties as assigned including backfilling for Center Operations Manager or other positions as directed by senior leaders
