The Center Operations Specialist position at the USO is a dynamic and essential role responsible for executing the day-to-day operations of one or more USO Centers. This role demands a high level of customer service excellence, ensuring that all visitors — especially military service members and their families — experience a safe, friendly, and inviting environment. The specialist will also be responsible for managing and delivering high-quality, self-sustaining, and cost-efficient programs, events, and activities both on the center premises and potentially at external locations. This role is instrumental in creating valuable, engaging, and memorable experiences that support the wellbeing and morale of military communities.
The Center Operations Specialist collaborates with colleagues and external stakeholders, including the U.S. Military, local community leaders, partners, donors, and media representatives, to maintain and enhance awareness of the USO mission. The specialist may oversee volunteers, coordinate resources for programs, handle financial and inventory management, and contribute to communications and social media efforts that highlight the organization's impactful work. Job Requirements
- High School Diploma or equivalent
- 2+ years work experience in event management marketing retail customer service recreation facility or related role
- Strong interpersonal customer service and problem-solving skills
- Proficiency using computers electronics equipment and Microsoft Office Suite
- Ability to perform basic math and follow proper cash donation handling and reporting procedures
- Willingness and ability to work non-standard hours
- Ability to obtain and maintain proper credentials necessary to access USO Center locations including security credit and background screening and valid driver’s license
- Must be a strong advocate of the USO’s mission
Job Qualifications
- High School Diploma or equivalent
- 2+ years work experience in event management marketing retail customer service recreation facility or related role
- Relevant experience in non-profit military multicultural or global organization preferred
- Strong interpersonal customer service and problem-solving skills
- Ability to interact with USO Leadership general public and military audiences with integrity and professionalism
- Proficiency using computers electronics equipment and Microsoft Office Suite
- General knowledge of volunteer management software and social media platforms
- Experience with Digital Cheetah preferred
- Demonstrated ability to exercise sound judgment related to controversial or culturally sensitive subjects
- Ability to handle confidential information with tact and poise
- Demonstrated initiative self-motivation and attention to detail with ability to manage multiple projects
- Ability to work collaboratively in a team environment
- Ability to perform basic math and follow proper cash donation handling and reporting procedures including project management and budget reconciliation
- Willingness to work non-standard hours as needed
- General knowledge of military community preferred
- Ability to obtain and maintain proper credentials for USO Center access including security credit and background screening
- Ability to obtain and maintain a valid US passport and foreign driver’s license where applicable
- Must be a strong advocate of the USO’s mission
Job Duties
- Execute day-to-day Center operational procedures ensuring a cost-effective safe welcoming and clean environment
- Monitor and maintain facilities and equipment enforcing sanitary and food-handling guidelines and regulations
- Engage and interact with Center visitors serving as a subject matter expert about amenities tours classes programs and services and troubleshoot to resolve issues
- Help to maintain Center operations within budget monitor and maintain and accurately report on inventory and handle cash provide data for financial operational and statistical reports as requested
- Create and maintain a Standard Operating Procedure file detailing local operational procedures and Center activities
- Assist in planning overseeing and leading execution of operational areas including programs logistics inventory management budget social media and database management
- Assist with operations and programs communications and awareness compiling and preparing announcements stories and photos for social media local media and website publications
- Deliver or assist in managing planning and evaluation of new and existing USO programs activities and events on and off US military installations
- Assist in reviewing USO programs and service needs including researching and recommending new programs and services and implementing changes
- Develop and maintain working relationships with US Military local community leaders partners donors and media representatives to enhance awareness and support of the USO mission
- Coordinate with Center colleagues to ensure resources including volunteers materials and supplies are available for all programs events and activities and oversee volunteer participation
- Communicate key information to volunteers including shift openings policy changes and development opportunities and maintain volunteer database reports
- Direct prospective volunteers through the application process coordinate on the job training implement volunteer recognition events and submit Volunteer of the Quarter nominations
- May be required to operate a USO or personal motor vehicle
- Perform other duties as assigned including backfilling for Center Operations Manager or other positions as directed by senior leaders
