The current opening at the Hilton Waikiki Beach Hotel is for a full-time Catering/Sales Coordinator, an integral role dedicated to supporting the Catering and Sales Team. The Catering/Sales Coordinator is responsible for servicing existing clients with aloha spirit, effectively managing client needs, and coordinating event details to guarantee seamless execution. Job Requirements

  • High school graduate
  • some college coursework is preferred
  • associate's degree preferred or equivalent combination of education and experience
  • must have 2 years clerical experience of similar capacity
  • 2 years previous hotel sales, catering, or reservations experience preferred
  • previous direct experience with Delphi and OnQ systems preferred
  • must be able to multi-task in a busy environment, follow through on guest and employee requests, ensure guest satisfaction, and work as a team player
  • relevant military experience in a comparable capacity
  • good communication and interpersonal skills are essential

Job Duties

  • Meet or exceed pre-determined booking goals for covers and revenue
  • meet or exceed budgeted costs and revenue on a monthly average
  • types various forms of documentation including contracts, memos, letters, and proposals
  • types banquet event orders (BEO) and distributes to appropriate departments
  • promptly handle inquiry calls and monitor efficient flow of paperwork
  • upsell clients while promoting luxury service standards
  • complete coordination of sales group functions
  • review function contracts prior to distribution
  • follow up on progress of groups booked to ensure maximum occupancy
  • generate thank you notes to clients and handle negative feedback
  • follow up on bookings and solicit repeat business
  • send menus, hotel information, and correspondence to clients
  • type and process sales contracts and internal/external correspondence
  • assist in compilation of figures and data for sales reports
  • handle guest requests and provide information about hotel facilities and services
  • ensure appropriate response to guest problems with timely follow-up
  • check banquet functions prior to guest arrival and make personal contact with clients
  • attend periodic staff meetings
