The role of Catering Coordinator within Constellation Culinary Group at Duane Morris in Philadelphia, PA, is an exciting opportunity for professionals passionate about event planning and catering management. This full-time position is integral to the success of the Dining & Events team, offering direct support to the Director of Catering, Catering Sales Manager, and Event Specialists. The Catering Coordinator will be pivotal in orchestrating flawless event execution by managing communications, coordinating logistics, and ensuring all event details are meticulously updated and adhered to. Responsibilities include maintaining event information accuracy in CaterXpert software, ensuring event rentals and deliveries are scheduled in alignment with client needs, and supporting team members during event setup and execution.

The position requires collaboration with sales, culinary, and booking teams to ensure seamless menu understanding and client requirements fulfillment. Job Duties

  • work as a member of a cohesive operations team supporting the Director of Catering and sales team and the General Manager to enable perfect event execution
  • function as a support to the Event Manager and Captains and sometimes act as a junior sales specialist when business levels are high
  • maintain positive, win-win attitude working to improve execution and timeliness of the team
  • ensure all event information in CaterXpert from the sales team is up to date and detailed prior to event deadlines
  • assist in the setup and execution of events
  • ensure event rentals have scheduled deliveries and pickups convenient for specialist or venue manager
  • maintain calendar of events through Outlook and attend necessary event meetings and conference calls
  • communicate with sales, culinary and booking staff as needed to ensure understanding of menus and client needs
  • collect and submit all payments and deposits related to contracted events
  • review weekly AR report and correct discrepancies or collect late payments
