The role of an Event Sales Coordinator at SSA is critical, serving as the main liaison for school group meals, birthday parties, and various events managed by the Catering & Events Sales Team. This position requires overseeing and coordinating event details from inception through execution, ensuring every aspect aligns with client expectations and company standards. The coordinator communicates directly with clients to finalize arrangements, manages logistical details such as event configurations, and works closely with operations and culinary teams to guarantee flawless event delivery.

This role demands proficiency in event planning and sales, requiring a balance of exceptional organizational skills, interpersonal communication, and operational oversight. The Event Sales Coordinator must be adept at managing contracts, Banquet Event Orders (BEOs), event diagrams, and payments, while also being flexible to adapt to the dynamic nature of event services. They are responsible for maintaining a clean and safe work environment, ensuring all event spaces are appropriately prepared, and adhering strictly to company policies and regulatory requirements.

The position reports directly to the Catering Sales Manager or Director of Catering & Events and plays a pivotal role in upholding SSA's standards of hospitality by delivering warm, welcoming, and memorable experiences. Emphasizing teamwork, inclusivity, and sustainability, the Event Sales Coordinator also contributes to community engagement and cultural development within the organization.   • Minimum one to two years catering sales or event planning experience
  • Knowledge of BEO preparation and execution
  • Must be 18 years or older

Job Qualifications

  • One to two years minimum catering sales and/or event planning experience
  • Knowledge and execution of Banquet Event Orders (BEO) required
  • Strong interpersonal and communication skills
  • Exceptional problem solving and organizational skills
  • Financial management, merchandising, analytical, planning and leadership skills
  • Computer proficiency in basic office functions
  • Ability to work varied hours including nights, weekends and holidays
  • Must be 18 or older

Job Duties

  • Live out 452 Hospitality by delivering warm, welcoming, and memorable experiences for every guest and client
  • Handle all birthday inquiries
  • Upsell and detail the event with the client
  • Prepare contracts, BEO's, diagrams and other internal documents
  • Provide thorough and timely communication with clients
  • Constant and thorough communication and collaboration with Catering Operations, Culinary Team and other departments involved in the event
  • Uphold and demonstrate a complete understanding of company policies and procedures
  • Knowledge of space feasibility, maximizing space usage and yield management
  • Manage in accordance with applicable local, state and federal laws
  • Maintain a clean, safe and organized work environment
  • Walk all event spaces before event to ensure everything is in working order and report any repairs needed
  • Knowledge of menu and event planning
  • Coordinate with the selling manager on event details from menu to staffing and equipment
  • Secure deposits and ensure all event payments are made in full prior to each event
  • Professional and positive communication to guests and employees
  • Provide administrative support for the Catering Sales Team
  • Conduct post event follow up and client engagement
  • Perform other duties as assigned by Director or General Manager
  • Promote an inclusive and supportive approach at the unit
  • Support sustainability and conservation efforts
  • Participate in community engagement and giving back initiatives
