The Catering Coordinator role at Oak View Group involves critical administrative and operational support within the Catering and Culinary Departments to ensure the smooth execution of events and meals. This position supports day-to-day departmental operations by coordinating event preparations, managing temporary staff scheduling, and providing logistical assistance during catered functions. The Catering Coordinator serves as a communication hub by updating event orders (BEOs), organizing event signage, facilitating staffing communications, and ensuring compliance with scheduling and attendance policies. This position requires an individual who is detail-oriented, highly organized, and capable of multitasking in a fast-paced, event-driven environment.

This is a full-time role offering an hourly wage ranging from $22.00 to $25.00. The compensation is complemented by a comprehensive benefits package that includes health, dental, and vision insurance, a 401(k) savings plan with matching contributions, and paid time off inclusive of vacation days, sick days, and eleven holidays. The role demands flexibility in scheduling as work may include days, evenings, and weekends to support various catered events. Job Requirements

  • Associate's degree or equivalent from a two-year college or technical school preferred
  • Previous administrative experience preferred
  • Strong communication and interpersonal skills required
  • Proficient in MS Word, Excel, and Outlook
  • Detail-oriented and able to multitask effectively
  • Self-directed with ability to work independently
  • Availability to work varied schedules including evenings and weekends

Job Qualifications

  • Associate's degree or equivalent from a two-year college or technical school preferred
  • Previous experience in an administrative role a plus
  • Excellent communication and interpersonal skills
  • Ability to work in a fast-paced, event-driven environment
  • Intermediate computer skills in MS Word, Excel, and Outlook on Windows platform
  • Detail-oriented with ability to multitask and prioritize effectively
  • Ability to work independently and be self-directed
  • Willingness to work varied schedule including days, evenings, and weekends

Job Duties

  • Provide support to the Catering and Culinary Departments with coordination and communication of operation set-up timelines
  • Update BEO Book promptly for accurate communication between departments
  • Create, organize, and pull signage for events as needed
  • Receive new hire information from Senior Catering Manager and provide department orientation and tours
  • Participate in weekly BEO and staff meetings to facilitate communication
  • Interview and hire for open positions
  • Update employee schedules including availability and RTO requests, and distribute revised schedules
  • Print schedules and timesheets for Catering staff
  • Coordinate with staffing agencies to fulfill temporary staff needs
  • Check in temporary staff for shifts, report temp hours, submit timesheets, and sign off on electronic time records
  • Provide administrative support such as creating replenishment sheets, function signage, maintaining contact sheets, schedules, and email lists, and managing department birthday cards
  • Track office stock levels and communicate supply needs to Office Manager
  • Oversee catered events and staff as directed
  • Maintain employee attendance tracker and communicate attendance points
  • Manage paycheck distribution on paydays
  • Order paper and coffee supplies and handle inventory
  • Update employee communication postings
