The Catering Coordinator / Group Housing Specialist position at The Westin Raleigh-Durham Airport is an exciting role crafted for a detail-oriented and organized professional who thrives in a fast-paced hospitality setting. This role serves as a key connector between the sales, catering, and operations teams to ensure flawless execution of events and group housing arrangements. As a Catering Coordinator / Group Housing Specialist, you will be responsible for supporting meeting and event planning, managing client documentation, coordinating logistics with various hotel departments, and handling group room block reservations efficiently.

The ideal candidate is someone who enjoys working closely with clients to guarantee their expectations are met before, during, and after events, ensuring an exceptional level of service. You will prepare banquet event orders, manage event details accurately, and provide excellent communication across teams internally and with clients. Job Requirements

  • High school diploma or equivalent
  • Previous hospitality, sales, catering, or hotel front office experience preferred
  • Strong organizational skills and attention to detail
  • Excellent communication and interpersonal skills
  • Ability to manage multiple priorities in a fast-paced environment
  • Proficient in Microsoft Office
  • Reliable transportation and flexible schedule as needed

Job Qualifications

  • Previous hospitality, sales, catering, or hotel front office experience preferred

Job Duties

  • Support the planning and execution of meetings, events, and catering functions
  • Prepare banquet event orders (BEOs) and ensure accuracy of all event details
  • Communicate event requirements with hotel departments (F&B, Banquets, Front Office, etc.)
  • Maintain organized client files, contracts, and event documentation
  • Assist in menu planning, timelines, and event logistics
  • Provide exceptional service to clients before, during, and after events
  • Manage group room blocks, including reservations, pickup tracking, and adjustments
  • Serve as the primary contact for group housing inquiries and coordination
  • Monitor group cut-off dates and communicate updates to clients and internal teams
  • Generate and distribute group reports (pickup, rooming lists, etc.)
  • Ensure accurate billing, rooming lists, and special requests are executed
