The Catering Coordinator acts as the primary liaison between clients and the catering services, responsible for understanding client needs and translating those into comprehensive event plans that encompass room arrangements, menu selections, decorations, and entertainment. This position requires a high level of organization and attention to detail to manage multiple functions concurrently, ensuring all preparations meet quality standards and client expectations. The Coordinator monitors all aspects of event execution, from scheduling and staffing to managing supplies and equipment, and is responsible for maintaining records such as private party logbooks and contract files.

Job Duties
- Organizes and coordinates various catering and special events such as membership affairs, command functions, cultural events, balls
- meets with clients to discuss event requirements and explain services offered
- receives and reviews schedules of banquet or related activities to ensure proper preparations
- responsible for thematic decoration when not provided by client
- handles change orders promptly and correctly
- implements catering booking strategies to maximize utilization of function rooms
- ensures communication and procedures are followed for catering arrangements
- checks work in progress for quality and deadlines
- ensures quality service and food and beverage products
- maintains organization and cleanliness of catering areas and equipment
- maintains private party logbook and contract files
- follows up with client evaluations
- verifies receipts and completes function reports
- manages funds collection, reconciliation, recording, and deposit
- determines need for replenishment of materials and authorizes stock levels
- ensures compliance with security, sanitation, health, environmental, and fire regulations
- ensures employees meet dress and sanitation standards
