The Catering & Events Coordinator role is pivotal within this resort to support the planning, coordination, and execution of catered events and special functions. This position acts as a critical liaison among clients, internal departments such as Culinary, Banquets, Sales, Housekeeping, and AV, and event staff. The coordinator manages event details from the initial inquiry stage through post-event follow-up, ensuring all client and brand expectations are met with precision and professionalism. Responsibilities include assisting in bookings for various event types including weddings and corporate meetings, preparing and distributing event orders and contracts, and coordinating multiple departments to guarantee seamless event flow. The role also supports site visits, tastings, and client meetings, maintaining accurate records and handling billing follow-ups. This position requires excellent communication skills, thorough organization, attention to detail, and the ability to multitask and thrive in a fast-paced environment. The coordinator occasionally assists with on-site event coordination, overseeing event setup and breakdown to maintain brand service standards. The role requires driving capability for transportation needs to various event-related locations. Job Requirements

  • High school diploma or GED
  • Minimal experience in event management or related professional area
  • Ability to operate a motor vehicle
  • Effective planning and organizational skills to implement multiple projects and meet deadlines
  • Ability to effectively deal with internal and external clients
  • Detailed-oriented with excellent verbal and written communication skills
  • Proven organizational interpersonal and communication skills
  • Experience using computers and software programs such as Microsoft Office Word Excel and Outlook
  • Professional demeanor appropriate for a resort environment
  • Ability to adjust to changes in work tasks or environment
  • Ability to work in a fast-paced environment
  • Ability to sit at a desk for long periods
  • Ability to intermittently twist to reach equipment or supplies
  • Ability to occasionally lift and carry items weighing up to 50 pounds
  • Ability to use telephone and computer keyboard daily

Job Qualifications

  • High school diploma or GED or 2-year degree from an accredited university in hotel and restaurant management hospitality business administration or related major no work experience required
  • Prior experience in event management at a resort property preferred
  • Proven organizational interpersonal and communication skills
  • Knowledge of the catering and events market is a plus
  • Detailed-oriented quality and resourceful with excellent verbal and written communication skills

Job Duties

  • Assist in coordinating catering and event bookings including weddings corporate meetings social events and private functions
  • Serve as a point of contact for clients responding to inquiries and providing event information in a timely and professional manner
  • Prepare and distribute event orders contracts BEOs and invoices
  • Coordinate with internal departments such as culinary banquets sales housekeeping and AV to ensure seamless event execution
  • Support site visits tastings and client meetings
  • Track event details including guest counts menus timelines room setups and special requests
  • Ensure events are executed according to contract specifications and brand service standards
  • Assist with on-site event coordination as needed including event setup and breakdown oversight
  • Maintain accurate records files and databases related to events and catering activities
  • Handle post-event follow-up including billing accuracy and client feedback
  • Perform other duties assigned by management
