The Catering & Events Coordinator role at Palmetto Dunes Oceanfront Resort is an integral position within the resort’s event management team. This full-time role supports the Catering & Events Sales Manager in every aspect of planning and delivering exceptional catering services and events. The Coordinator will be responsible for assisting in soliciting, promoting, pricing, planning, and coordinating the full spectrum of catering, banquet, and event functions. This position requires a dynamic individual who is organized, detail-oriented, and capable of multitasking in a fast-paced environment. The successful candidate will play a critical role in creating memorable experiences for guests by ensuring seamless execution of events from initial inquiry to final follow-up.
Daily responsibilities include responding to requests for proposals (RFPs), organizing site tours and tastings, managing banquet event orders, coordinating with food and beverage teams, and ensuring all licensing and permits are in place. The Coordinator will have hands-on involvement in event setup, supervision during events, and maintaining excellent communication with clients to guarantee satisfaction. This role also demands flexibility, as working days, nights, and weekends will be necessary based on business needs. Working closely with multiple departments, the Coordinator acts as an extension of the Catering & Events Sales Manager, sometimes filling in when the manager is unavailable to maintain the high standard of event services.

Job Requirements
- be able to work in a standing position for long periods of time (up to 8 hours)
- be able to reach, bend, stoop, and occasionally lift up to 20 pounds
- be able to work in indoor and outdoor environments
- possess patience, positivity, and willingness to make every event successful
Job Qualifications
- previous experience in catering, events, or Food & Beverage sales preferred
- strong verbal and written communication skills
- professional and approachable demeanor
- detail-oriented with excellent time management and multitasking abilities
- proficiency with Microsoft Office, experience with Salesforce (Delphi) and MICROS is a plus
- comfortable working in a dynamic environment including days, nights, weekends, and holidays
- must have a valid driver’s license
- team player with a people-first attitude who thrives in customer-facing roles
- willingness to work with any and all clients
Job Duties
- assist the Catering & Events Sales Manager with responding to RFPs and other leads within established guidelines
- collect deposits as required before the event along with a signed and dated contract outlining time sensitive information needed to perform function
- assist with scheduling and coordinating site tours, tastings and other visitations needed to close sales
- populate Banquet Event Order documentation on final arrangements with client events, obtain all specifications concerning the event including number attending, schedule and menu
- update Banquet Event Orders throughout the planning process and communicate all changes with the Food & Beverage/Banquet Team
- collect appropriate licensing and permits from town and ensure collaboration with security
- regularly review upcoming event function sheets and ensure the Banquet Captain/Manager makes staff aware of all items on the Banquet Event Order and delegates tasks
- assist in preparing required paperwork including reports and event calendars in a timely manner and keep the customer database up to date
- complete sales process including surveys, thank-you’s, and any appropriate follow-up
- be present at all events to ensure contracted promises are met and work with the Catering/Banquet team for timely event execution
- assist in directing initial setup and supervise events until conclusion
- tend to event contact’s direct needs throughout each event to ensure satisfaction
- assist with last-minute event setup as requested
- act as extension of Catering & Events Sales Manager and assist with Banquet Event Orders, contracts and client follow-ups
- fill in as needed if the Catering & Events Sales Manager is not present and cannot fulfill their tasks
