Job Description

The current opportunity is for the position of Catering and Event Coordinator NF2 located at Camp Pendleton, California. This role calls for an individual who is enthusiastic about event planning and customer service within a unique military community environment. The Catering and Event Coordinator will organize and manage a range of catering functions and special events, including leagues, tournaments, and private gatherings held primarily at Marine Memorial Golf Course and Pub 1795. This position requires extensive interaction with clients to discuss event requirements such as dates, guest numbers, occasions, room setups, decorations, menus, entertainment options, and golf tournament arrangements. The coordinator is responsible for preparing and maintaining detailed schedules of banquet and related activities on a regular basis, ensuring that all necessary preparations, including staffing, supplies, and venue arrangements, are accurately managed and executed.

An integral part of the role involves implementing effective booking strategies to maximize the use and profitability of event spaces. The coordinator must maintain clear and timely communication with all involved departments, ensuring that catering, golf, and tournament procedures are followed to uphold high standards of service quality for food, beverage, and overall event execution. On-site oversight of events is essential to confirm that all elements match the planned arrangements, while follow-up with clients to gauge satisfaction ensures continuous improvement. Financial responsibilities include handling funds generated from events, maintaining accurate records, and ensuring proper reconciliation and deposits in compliance with policies.

The Catering and Event Coordinator also works closely with the golf and food and beverage teams to finalize event details such as logistics, menu selections, timelines, and décor preferences. The position includes responsibilities for inventory management, ensuring adequate stock levels and addressing issues like equipment failure or supply delays. Maintaining adherence to security, sanitation, health, environmental, and fire regulations is critical, as is ensuring that all employees under the coordinator’s direction comply with dress and sanitation standards.

This role requires delivery of world-class customer service with a strong focus on courtesy and positive communication. The coordinator is expected to effectively address customer concerns, escalate issues when necessary, and strictly follow all safety regulations. Job Requirements

  • High school diploma or equivalent
  • Minimum of 1 year experience in catering or event planning or related field
  • Ability to work independently and under pressure
  • Proficient in customer service and communication skills
  • Knowledge of Point of Sale Systems and catering procedures
  • Ability to prepare event schedules and reports
  • Willingness to undergo background investigations including National Agency Check and Inquiries
  • Compliance with Selective Service registration if applicable
  • Ability to provide required documents including education certificates and military service records if relevant
  • Adherence to dress code and sanitation standards
  • Must be able to lift up to 20 lbs occasionally
  • Availability to work at Camp Pendleton, CA

Job Qualifications

  • Minimum of 1 year of experience in catering or event planning within hotel, restaurant, catering, or recreation/hospitality environment
  • Knowledge and understanding of events, Point of Sale Systems, and catering practices
  • Knowledge of golf, rules of golf, golf facility and tournament operations preferred
  • Skilled in assisting customers with party function planning
  • Ability to plan, organize, and coordinate functions for quality customer service
  • Ability to work independently under pressure with limited supervision
  • Ability to prepare reports and handle simple contractual arrangements
  • Strong interpersonal skills to deal courteously and effectively with customers, employees, and management
  • Capable of occasional lifting up to 20 lbs

Job Duties

  • Organizes and coordinates catering and special events such as leagues, tournaments, and private events at Marine Memorial Golf Course and Pub 1795
  • Meets with clients to discuss requirements including date, guest count, occasion, services offered, room, decorations, menu, entertainment, and golf tournaments
  • Prepares and maintains schedules of banquet and related activities on a weekly and/or daily basis
  • Reviews scheduled functions to ensure proper staffing, venue arrangements, supplies, and equipment
  • Handles change orders promptly and correctly
  • Implements catering and tournament booking strategies to maximize profitable use of venues
  • Oversees on-site execution to ensure all event elements are delivered as planned
  • Follows up with client evaluations
  • Verifies accuracy of receipts at close of business and completes function reports
  • Works with golf and food and beverage teams to confirm event logistics, menu, timelines, and décor
  • Manages replenishment of materials and stock levels
  • Ensures compliance with security, sanitation, health, environmental, and fire regulations
  • Maintains employee dress and sanitation standards
  • Provides world class customer service emphasizing courtesy
  • Addresses customer issues and escalates when necessary
  • Adheres to safety regulations and reports hazards and incidents
