The role of Catering & Conference Services Manager at InterContinental Boston is a critical position that blends operational expertise with exceptional client relationship management. This full-time managerial position demands a dynamic individual who can oversee the complete planning and execution of group room blocks, meetings, conferences, and catering events. From the moment a sales contract is signed to the completion of the event and final billing, the Catering & Conference Services Manager serves as the vital link between clients and all hotel departments, ensuring every detail aligns with the hotel’s luxury standards. Responsibilities include coordinating with multiple teams, such as Sales, Banquets, Culinary, Front Office, Housekeeping, Engineering, Security, and Audio Visual departments, to deliver seamless event execution.

This role requires exceptional organizational skills to prepare and distribute detailed banquet event orders, group grids, resumes, and event diagrams while also conducting pre-convention planning and post-event evaluations with clients and hotel leadership. The manager is expected to handle guestroom blocks, VIP arrivals, transportation, and special requests to enhance client satisfaction further. Financial accuracy is also essential, including reviewing event billing and assisting with account reconciliations. The position demands a knack for upselling hotel services and amenities, contributing to revenue growth while fostering strong, ongoing client relationships. The Catering & Conference Services Manager must be adaptable, capable of managing last-minute changes, and maintaining calm under pressure. This role requires the candidate to have a flexible schedule that may include evenings, weekends, and holidays to meet business needs.

Job Duties

  • Serve as the primary point of contact for clients from contract execution through event completion
  • Coordinate all aspects of meetings, conferences, social events, and room blocks
  • Conduct pre-convention, planning, and post-event meetings with clients and hotel leadership
  • Prepare and distribute detailed banquet event orders, group grids, resumes, and diagrams
  • Collaborate with various hotel departments to ensure seamless event execution
  • Respond promptly to client requests and proactively resolve issues
  • Ensure meeting spaces are set according to banquet event orders and hotel standards
  • Coordinate guestroom blocks, VIP arrivals, amenities, transportation, and special requests for group clients
  • Manage event changes, rooming lists, billing instructions, and function space adjustments
  • Review event billing for accuracy and assist with final account reconciliation
  • Maximize client satisfaction and identify upselling opportunities
  • Maintain strong relationships with repeat clients and event planners
  • Ensure compliance with hotel policies, safety standards, and service procedures
  • Participate in daily operations meetings and department briefings
