The Casual Hire - Athletics Facilities Assistant Special Events Coordinator is a full-time, temporary position within the UHM Athletics department that plays a critical role in managing and coordinating athletic tournaments and events hosted by UH. This role involves working closely with the Assistant Athletics Director for Facilities and Events, supporting the smooth operation of UH-hosted tournaments across various sports, including women's volleyball, soccer, golf, beach volleyball, basketball, and softball. The position requires hands-on involvement in facilities and games management, particularly for home football games at the Ching Complex.
As a Casual Hire employee, the appointment is temporary and does not include most benefits provided to regular employees, with the maximum employment period being up to 89 days and working up to 40 hours per week. The position demands a proactive, organized individual with excellent communication skills who can liaise effectively with visiting teams, vendors, athletic staff, and other relevant stakeholders. Maintaining the confidentiality of sensitive information is critical, as is adhering to all University, state, and NCAA policies and regulations. This role requires availability to work nights, weekends, and holidays as necessary, reflecting the dynamic nature of sporting events. The role is vital in ensuring events are safe, well-coordinated, and successfully executed while fostering positive relationships with internal and external partners in the athletic community.

Job Requirements
- Bachelor degree from an accredited college or university
- One year experience with events management or equivalent combination of education and experience
- Ability to work cooperatively and effectively with people of diverse backgrounds

Job Duties
- Assist UH hosted tournaments under the direction of the Assistant Athletics Director for Facilities and Events
- Implement tournament packets for all women’s and men’s sports, primarily women’s volleyball, soccer, golf, beach volleyball, basketball, and softball
- Assist with facilities and games management of UH home football games at Ching Complex
- Act as liaison for visiting teams and coordinate their needs during tournaments
- Procure vendors for team and individual awards and coordinate award presentations
- Communicate with tournament staff including trainers, equipment, facilities, marketing, media relations, ticket office, and coaches
- Serve as tournament manager and attend all tournaments on and off campus
- Coordinate practices with visiting teams and facilities scheduling officer
- Ensure venues are safe and safety policies are followed prior to each event
- Coordinate parking permits for UHAD staff and coaches
- Manage key card access system for Gym 1 and Gym 2
- Maintain confidentiality of sensitive information
- Foster collaborative and positive working relationships with administrators, coaches, student-athletes, vendors, college offices, media, donors, and interested individuals
- Comply with University of Hawaii, NCAA, and affiliated conference policies and regulations
- Report any suspected violations to the Director of Athletics
- Perform other duties as assigned by the Assistant Athletics Director for Facilities and Events management
